Description

We are looking for an Administrative Assistant to support daily office operations for the shop and operations team. This position plays an important role in keeping records accurate, schedules organized, and communication flowing smoothly across departments. The ideal candidate is highly organized, thorough, and has both administrative and bookkeeping experience in a fast-paced environment. This role is 100% on site in North Idaho.

Responsibilities:

Support the Operations Manager and Shop Manager with a wide range of administrative and office coordination tasks.

Organize, scan, file, and maintain both digital and paper documentation, including operational records, equipment files, invoices, and correspondence.

Assist with bookkeeping tasks such as invoice review and billing.

Input, review, and update information in internal systems, spreadsheets, and databases to ensure records remain accurate and current.

Coordinate calendars, schedule appointments, and arrange meetings while helping avoid conflicts and last-minute disruptions.

Build and maintain structured filing systems that align with current federal and state recordkeeping requirements.

Manage routine office support duties such as mail handling, supply ordering, and meeting setup to keep daily operations running smoothly.

Requirements

At least two years of experience in administration, office coordination, and/or bookkeeping is required.

Transportation, or a heavy equipment/auto repair industry is preferred.

Strong verbal and written communication skills with the ability to interact professionally across teams and with visitors.

Proven ability to work independently, stay proactive, and manage multiple priorities with strong attention to detail.

High level of discretion, sound judgment, and commitment to handling sensitive information confidentially.

Proficiency with Microsoft Office applications and the ability to learn dispatch, accounting, or fleet management software quickly.
