QUALIFICATIONS: High School Diploma/ GED or higher. Previous experience and/or training; or equivalent combination of education, training, and experience in the legal field is a plus. A valid driver's license, satisfactory pre-employment drug screen, background check and completion of the computer skills testing also required.
SALARY: $38,767.00 (Grade H)
Summary: Under the direct supervision of the Court Administrator. Provides administrative and secretarial support for the Court Administrator's office. In addition to typing, filing and answering of telephone, performs duties such as coordination of meetings, obtaining supplies, working on special projects. Also, corresponds and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization, independent judgment is required to plan, prioritize, and organize
Essential Functions: The essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification. . Receives and screens incoming telephone calls from the public and other individuals; routes calls and/or takes messages as necessary; answers questions from county employees, the public or other individuals as necessary; provides information accordingly.
. Prepares, @types and drafts various legal documents and correspondence to include letters, memorandums, and other documents; reviews information for accuracy and completeness; makes corrections and/or additions as needed; maintains copies for departmental files and future reference; maintains confidentiality of all legal documents.
. Maintains individual schedules for Court Administrator and Assistant Court Administrator in the office; arranges and schedules appointments, conference calls and meetings; notifies individuals of dates and times and cancellations and/or changes in appointment times and dates.
. Greets visitors, attorneys and general public as necessary; answers questions and provides information; resolves conflict and/or problems; collects necessary information; makes copies and files for departmental use.
. Serves as a liaison between departments and other individuals; answers questions and provides information as required.
. Gathers and prepares court files for upcoming proceedings.
. Prepares, edits, organizes, and displays, Pro Se litigation forms and aids the public in gaining access to these forms.
. Prepares and updates daily public display court calendar.
. Utilizes various office equipment such as personal computers, calculator, fax machine, photocopier, scanner and other equipment as necessary to perform daily duties; uses various computer software in the preparations of documents, and resolution tracking; keeps apprised of changes in equipment and software; learns new programs as necessary.
. Receives incoming mail, sorts and distributes to appropriate individuals, prepares certified letters and outgoing mail, processes UPS; delivers to appropriate location.Maintains Law Library which includes but is not is not limited to the following:
o Maintains record of print materials available in Law Library.
o Maintains record of print materials received from publication companies or other entities.
o Receives and reviews invoices for Law Library materials including electronic research accounts for Law Library, Court and County.
o Determines if invoice is appropriate and should be authorized for payment by County.
o Authorizes invoice for payment by County.
o Communicates with employees of the County.
o Correlates invoices, shipping documents and bills.
o Delivers/forwards received materials to appropriate individuals and/or offices.
o Places/shelves/updates received materials in the Law Library.
o Removes materials from the Law Library that are replaced by new material or deemed irrelevant by the President Judge.
. May from time to time be called on to assist the MDJ Clerks assigned to Central Court.
. Performs other related functions as assigned or required by the President Judge, Judge, Court Administrator or Assistant Court Administrator.
