Description We are looking for an organized Administrative Assistant to support daily office operations in Ponte Vedra, Florida. This is a Contract position suited for someone who enjoys keeping administrative tasks on track, communicating professionally with internal and external contacts, and maintaining accurate documentation. The ideal candidate brings strong office support experience, confidence handling phone-based communication, and the ability to work efficiently in a fast-paced environment.

Responsibilities:

Manage front-office administrative activities, ensuring day-to-day operations run smoothly and professionally.

Respond to incoming calls, direct inquiries appropriately, and provide courteous assistance to callers and visitors.

Prepare, organize, and maintain office records, digital files, and scanned documents with a high level of accuracy.

Enter and update information in office systems, verifying details to support reliable recordkeeping.

Assist with general receptionist coverage, including message handling, scheduling support, and routine correspondence.

Use Microsoft Office 365 tools to create documents, track information, and support team reporting needs.

Coordinate outbound communications as needed to follow up on requests, confirm details, and relay important information. Requirements - Prior experience in an administrative assistant, office support, or receptionist capacity.

Ability to manage inbound and outbound phone communication with close attention to detail.

Proficiency with Microsoft Office 365, including common business applications.

Experience handling document scanning, filing, and general records organization.

Strong data entry skills with close attention to detail and accuracy.

Clear written and verbal communication skills.

Ability to prioritize multiple tasks and remain organized in a busy office setting. TalentMatch®
