Job Title: 3PL Inventory Coordinator Job Description
The 3PL Inventory Coordinator supports accurate inventory transactions and reconciliations between a third-party logistics (3PL) warehouse and internal systems. In this temporary role, you focus on systematically managing purchase orders and inventory within ERP and WMS platforms, using Excel to investigate discrepancies and maintain data integrity. You work primarily in systems rather than on the warehouse floor, leveraging reports and tools to identify and resolve issues with inventory counts and transactions.
Responsibilities
Assist with manual inventory transactions between the 3PL partner and Oracle, including inventory adjustments and purchase order receipts.
Systematically receive, create, update, and correct purchase orders within the WMS and related systems to ensure accurate inventory records.
Investigate inventory variances by navigating reports and systems to identify root causes and support timely resolution.
Provide limited support for EDI issue resolution by reviewing data, identifying discrepancies, and escalating issues to process owners as needed.
Help identify and communicate accurate inventory counts for the floor inventory team, especially when discrepancies arise between shipped and received 3PL product.
Maintain accurate data entry across all systems to ensure transaction integrity and consistency between the 3PL and internal platforms.
Use Excel, including basic formulas, pivot tables, and VLOOKUP functions, to analyze data, reconcile differences, and prepare supporting documentation.
Collaborate with cross-functional teams to share findings from inventory investigations and support continuous improvement of inventory accuracy.
Support activities related to the new Warehouse/WMS startup by processing manual transactions and ensuring data is captured correctly.
Document findings, corrections, and transaction changes to provide clear audit trails and support future troubleshooting.
Essential Skills
Approximately 2-3 years of experience in inventory coordination, inventory control, or a similar role at a mid-junior level.
Strong Excel skills, including basic formulas, pivot tables, and VLOOKUP functions for data analysis and reconciliation.
Experience working with ERP systems, specifically Oracle or similar platforms, for managing inventory and purchase orders.
Experience with Warehouse Management Systems (WMS) for systematically receiving, creating, and correcting purchase orders.
Comfort using Outlook for communication and coordination with internal teams and external partners.
High-level understanding of warehouse and 3PL operations, particularly how transactions flow between systems and physical inventory.
Demonstrated ability to perform accurate data entry and maintain transaction integrity across multiple systems.
Experience supporting inventory control and reconciliation activities in a 3PL or warehouse environment.
Ability to investigate discrepancies by navigating reports and multiple systems to identify issues and propose resolutions.
Strong attention to detail and accuracy when working with large data sets and multiple transactional records.
Additional Skills & Qualifications
Familiarity with EDI processes and the ability to assist with basic EDI issue resolution, even if not owning the full process.
Experience working in a startup or new system implementation environment, particularly related to new Warehouse/WMS setups.
Ability to interpret and reconcile differences between shipped and received quantities in a 3PL setting.
Strong organizational skills and the ability to manage multiple manual transactions and tasks simultaneously.
Effective written and verbal communication skills for collaborating with inventory, operations, and systems teams.
Comfort working in a role focused on system-based research rather than physical inventory handling.
Why Work Here?
You join a collaborative environment that values accuracy, problem-solving, and continuous improvement. This role offers the opportunity to work closely with modern ERP and WMS technologies while contributing directly to the success of a new warehouse and system startup. You gain hands-on experience with 3PL operations and inventory reconciliation, expanding your technical and analytical skills in a supportive setting. The position provides a consistent daytime schedule, promoting a balanced routine and predictable work hours.
Work Environment
This is a temporary position with a standard weekday schedule, working Monday through Friday from 7:00 AM to 3:30 PM. The role is primarily systems-focused, with work performed in office or remote-office settings rather than on the warehouse floor. You work extensively with Excel, Oracle, WMS platforms, Outlook, and various reporting tools to manage inventory transactions and investigate discrepancies. The environment emphasizes accuracy, structured processes, and clear communication with inventory and operations teams, particularly during a new Warehouse/WMS startup phase. Dress expectations align with a typical professional or business-casual office setting, appropriate for a role centered on computer-based work and virtual collaboration.
