Responsibilities Serve as Administrative Services Assistant supporting multiple supervisors and employees across the organization. Navigate, operate, and input/retrieve records across several automated database systems, including electronic financial management systems, personnel systems, and timekeeping applications. Prepare data summaries, charts, and graphs by extracting raw information from databases and manipulating, filtering, and sorting multi-variable data sets to identify trends, reconcile discrepancies, and communicate metrics. Track expenditures, review budget lines, and reconcile transactions against automated financial management systems to ensure spending aligns with authorized allocations. Competently use advanced features of Microsoft Office applications (particularly Excel for pivot tables, filters, and formulas, and SharePoint) to organize, track and maintain program data. Process and audit travel orders, vouchers, and credit card purchases through automated financial networks, verifying transaction accuracy and compliance with policies. Manage and verify time and attendance records using automated systems to ensure accurate pay, leave tracking, and compliance. Maintain tracking systems and databases for assigned tasks, monitor deadlines, and coordinate follow-up actions to ensure timely completion. OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. GS-6 Specialized Experience: One year of specialized experience which includes (1) navigating and retrieving data from automated database systems; (2) sorting, and filtering data sets within spreadsheets to compile information; AND (3) utilizing office automation software to input, store, and organize electronic records. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05 or above). GS-7 Specialized Experience: One year of specialized experience which includes (1) operating across multiple automated agency systems to process administrative transactions; (2) manipulating, filtering, and sorting multi-variable data sets to compile summaries and track program data; AND (3) reviewing budgets, funding allocations, or financial transactions to identify discrepancies. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06 or above).
