As a Billing Clerk your responsibilities will include but are not limited to:

Prepare detailed client invoices and billing statements by compiling charges, reviewing supporting information, and ensuring timely monthly processing.

Examine pre-bills and revise them based on direction from legal staff, making sure final invoices reflect approved adjustments and client-specific requirements.

Enter new matter information into the billing system and maintain accurate billing records, documentation, and invoice histories.

Apply retainers, process write-offs in line with firm guidelines, and handle credit card payments with accuracy and discretion.

Investigate billing discrepancies, respond to invoice-related questions, and follow up on unpaid balances to support collections activity.

Generate customized invoice layouts, billing schedules, and recurring financial reports to meet attorney and client needs.

Print and distribute finalized invoices and monthly billing reports while maintaining compliance with established billing policies.

Provide day-to-day administrative and accounting support to senior finance staff, including assistance with special projects and internal payment distribution.

Use legal billing and office software to complete assigned tasks, maintain procedure documentation, and support efficient billing operations.

Requirements

The Ideal Billing Clerk will have:

At least 2 years of recent billing experience within a law firm environment.

Hands-on experience with legal billing software or comparable accounting platforms.

Proficiency with Microsoft Office applications, particularly Excel and Word.

Strong knowledge of billing administration, invoice review, collections follow-up, and computerized billing processes.

High level of accuracy, sound judgment, and attention to detail when handling financial data.

Ability to manage a large billing volume, balance competing deadlines, and adjust to changing priorities.

Effective communication skills with the ability to work closely with attorneys, paralegals, administrative staff, and clients.

College-level accounting coursework or an accounting degree is preferred.
