Summary This Program Support Assistant position is located at VA Palo Alto Health Care System. The position provides program and administrative support to Social Work Service (SWS) at VAPAHCS. SWS has more than 175 staff across multiple clinical and program areas; credentialing, and training support for more than 250 social workers; administers nationally mandated programs; coordinates the Community Nursing Home (CNH) program. The position reports to the Chief, Social Work Service, Menlo Park Division. Position Description/PD#: Program Support Assistant/PD03430-O Relocation/Recruitment Incentives: Not Available Major duties include, but are not limited to: Monitors correspondence, suspense items, deadlines, and required training. Collects and reports required data. Supports implementation of new or revised program procedures. Assists in resolving routine operational issues involving consults, scheduling, encounter corrections, correspondence, and service recovery. Completeness, accuracy, coordination, and compliance with established requirements. Provides procedural information to staff and customers. Prepares routine correspondence, memoranda, agendas, minutes, reports, and administrative documentation. Refers complex technical problems to the appropriate technical office. Supports education and training coordination by identifying requirements, scheduling training activities, maintaining reference resources, and assisting staff with individual training plans. Performs timekeeping support, including Time and Attendance entries, leave documentation, and fee-basis provider cost tracking in VATAS. Performing other duties as assigned. Basic Requirements: Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06.The grade may have been in any occupation, but must have been held in the Federal service. You may qualify based on your experience as described below: GS- 7 Specialized Experience Requirement: Experience in program administration and management; assistance with day-to-day operational duties; communicating effectively both verbally and in writing with a variety of individuals; problem-solving and applying decision-making skills. Sustaining processes and procedures to ensure program effectiveness; interpreting, analyzing, and responding to requests for information from internal and external entities; collecting, compiling, managing, and reporting program data; preparing correspondence and reports; utilizing automated software (such as Microsoft Word, Excel, etc.); developing a yearly program budget; developing a tracking mechanism to monitor funds and monitor all program expenditures. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary. Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, and carrying of light office items.
