Job Summary:

This recruitment will be used to fill one full-time Administrative Program Specialist position for the Department of Animal & Rangeland Sciences at Oregon State University (OSU).

The ADMINISTRATIVE PROGRAM SPECIALIST assists a program manager or administrator to ensure the smooth and efficient completion of all activities required for effective administrative support in the Department of Animal and Rangeland Sciences (AnRS) at Oregon State University. The primary function of the department is teaching, research, and Extension. AnRS has 41 faculty, 2 professional faculty, 7 support staff, 24 graduate students, and 429 undergraduate students. In addition, AnRS manages the James Oldfield Animal Teaching Facility and shares Withycombe Hall on the Corvallis campus and has 8 farm units in the Corvallis area. Work at this level requires a comprehensive knowledge of the program or operational area.

Key Responsibilities:

Graduate Program Coordinator for the Department of Animal and Rangeland Sciences.

Web content coordination and communications.

Department Compliance and coordination.

Building Coordinator/Manager including office space coordination, key and building access management, facilities maintenance coordination, and custodial services coordination.

Support to the Department's Scholarship Committee.

Department invoice and payment processing.

Telecom coordination

Process Courtesy Faculty applications.

Backup for Department Office Manager.

Qualifications:

Required Qualifications:

Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience. (One year of postsecondary education may be substituted for up to one year of the experience)

Demonstrated excellent interpersonal communication skills, dependable and customer service oriented with evidence of working collaboratively with individuals and groups/other units/agencies, and keen attention to detail.

Ability to communicate effectively in written form, such as in reports, websites, presentations and outreach materials.

Excellent time management skills to prioritize multiple projects.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Preferred Qualifications:

Proficiency in a Windows environment (Word, Excel, PowerPoint, Outlook, Teams), Adobe, and Zoom.

Experience with Workday, Slate, Canvas, Concur, Banner, and similar applications

Knowledge of Oregon State University policies.

Bachelor's Degree.

Higher Education experience.

Public or non-profit experience.

Working Conditions/Schedule:

Full time office work in the Department's main office. Coordinates facilities work through two buildings on campus and support to farm units.

Regular business schedule, occasional work outside normal work hours once or twice a year

Salary Range:

$22.84 - $34.70
