Description

A growing construction company in North County is looking for an Administrative Assistant to support its Project Management and Operations teams. This is a great opportunity for someone who enjoys a fast-paced environment where priorities can change quickly and there is always something happening.

You won't be sitting behind a desk doing repetitive filing all day. You'll help keep project documentation, subcontractor information, schedules, purchase orders, and communication organized so the field and office teams can stay on track.

WHAT YOU'LL HANDLE

Provide administrative support to Project Managers and Operations

Maintain project files and documentation

Prepare and organize contracts, proposals, and project correspondence

Assist with purchase orders and vendor documentation

Enter and update information in company systems

Coordinate meetings, inspections, and project schedules

Communicate with vendors and subcontractors

Track outstanding documents and approvals

Assist with invoice and billing documentation

Prepare spreadsheets and project reports

Maintain subcontractor records and certificates

Assist with change-order documentation

Handle incoming calls and emails

Support new project setup

Provide general office assistance as needed

Requirements

1-3 years of administrative or office experience

Construction experience is preferred but not required

Strong Microsoft Office skills, especially Excel and Outlook

Excellent organization and follow-through

Comfortable working with deadlines

Strong written and verbal communication

Ability to prioritize multiple requests

Experience with construction software such as Procore is a plus
