A well-established wealth management and professional services firm in Rancho Santa Fe is looking for an Executive Administrative Coordinator to provide high-level administrative support to a small team of executives and advisors.

This is an excellent opportunity for an experienced Administrative Assistant or Executive Assistant who enjoys working in a polished, professional environment and takes pride in anticipating needs before they're communicated. You'll be trusted with confidential information, complex scheduling, client communications, meeting preparation, and a variety of projects that keep the team operating efficiently.

WHAT YOU'LL HANDLE

Manage complex calendars and coordinate internal and external meetings

Schedule appointments with clients, executives, and outside partners

Prepare meeting agendas, presentations, and supporting materials

Coordinate domestic travel and detailed itineraries

Draft professional correspondence and communications

Maintain confidential client and company information

Assist with expense reports and invoice processing

Coordinate office and client events

Prepare documents and spreadsheets for leadership

Maintain organized electronic and physical records

Serve as a professional point of contact for clients and visitors

Coordinate follow-ups and action items after meetings

Assist with special projects and administrative initiatives

Research information and prepare summaries for leadership

Anticipate upcoming needs and proactively address administrative issues

Requirements

3+ years of administrative or executive support experience

Experience supporting executives, partners, or senior leadership preferred

Strong Microsoft Office skills, particularly Outlook and Excel

Exceptional written and verbal communication

Impeccable organization and attention to detail

Ability to handle confidential information with discretion

Professional and polished communication style

Strong ability to prioritize competing deadlines

Experience in wealth management, financial services, legal, or professional services is a plus
