Job Title: Administrative ClerkJob Description

We are seeking a detail-oriented Front Office / Administrative Clerk to support daily business operations through invoicing, data entry, document review, and transaction processing. This role is heavily focused on reviewing and processing paperwork, including sales orders, purchase orders, invoices, and other business documents. The ideal candidate enjoys working with detailed information, identifying discrepancies, and ensuring accuracy throughout the process. The successful candidate will spend approximately 90% of their day working in QuickBooks Enterprise Manufacturing and will play a key role in supporting office operations and maintaining accurate business records.

Responsibilities

Process customer invoices and transactional documents.

Review sales orders and purchase orders for accuracy.

Enter and maintain data within QuickBooks Enterprise Manufacturing.

Support revenue and operational reporting activities.

Verify documentation and identify discrepancies when necessary.

Maintain organized records and documentation.

Assist with general office administration and clerical duties.

Answer phones and assist customers and visitors as needed.

Support the Office Manager with daily operational tasks.

Essential Skills

Prior administrative, clerical, invoicing, billing, bookkeeping, AP/AR, or data entry experience.

Strong attention to detail and organizational skills.

Excellent written and verbal communication skills.

Ability to analyze information and identify inconsistencies.

Comfortable working in a paper-heavy environment.

Basic Excel skills, including SUM formulas, sorting and filtering, data entry, and spreadsheet maintenance.

Ability to work independently with minimal supervision.

High School Diploma or GED.

Additional Skills & Qualifications

QuickBooks experience is preferred but not required.

Naturally curious and analytical.

Enjoys reviewing documentation and solving problems.

Has strong data accuracy skills.

Can adapt to changing priorities and workloads.

Possesses a high degree of reliability and accountability.

Thrives in an environment where attention to detail is critical.

Work Environment

This role is on-site in Kennebunk, but will also require some travel to another location approximately 20 minutes away. The work schedule is Monday through Friday, 8:30 AM to 5:00 PM. This is a 3-4 month contract-to-hire position.

This is a Contract to Hire position based out of Kennebunk, ME.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
