Job Summary

Shambaughis looking for a Contracts Administrative Assistant. In this position you will be responsible for assisting with scanning, copying, mailing, and logging construction contracts.

Essential Duties & Responsibilities

Work closely with the contracts team to ensure timely and accurate recording of all contracts throughout the various phases

Scan, copy, and mail contracts and keep records as needed on the status of projects

Maintain accurate electronic records of all contracts

Research and retrieve archived documents

Maintain confidentiality

Send emails as needed to internal customers to follow up or acknowledge information that is needed

Request COI's for new Clients and Maintain COI's for existing Clients

Submit Monthly Hours for appropriate Clients

Complete all Owner Client Specific Information - if applicable

Make sure our grades with Clients are B's and above

Get help from appropriate people as needed

Other duties as requested

Qualifications

Proficiency in computer usage and above basic Microsoft Office & Windows skills required

Experience with AS400 a plus

Communication, planning, organizational skills via verbal, written, and electronic mediums

Quality Control skills - accuracy and thoroughness

Quantity - strong work ethic, able to multi-task and quickly shift priorities

Regular and reliable attendance, including the ability to work extended hours and weekends as required
