Workflow Coordinator

Description We are looking for an experienced and self-directed Workflow Coordinator to support a busy law firm office services environment in Los Angeles, California. This Long-term Contract position is ideal for someone who can oversee daily work coordination, support meetings and hospitality needs, and build strong relationships with attorneys, staff, leadership, and external vendors. The role calls for excellent judgment, clear communication, and the ability to keep multiple service requests moving efficiently in a fast-paced client-facing setting.

Responsibilities:

Coordinate incoming service requests, confirm details with requesters, and help establish realistic turnaround times while keeping stakeholders informed.

Organize meeting logistics by partnering with internal teams and hospitality staff to prepare conference rooms, support event needs, and handle follow-up communication.

Guide daily office services workflow by balancing competing priorities, assigning work effectively, and responding to urgent requests with sound judgment.

Maintain effective communication with secretaries, attorneys, business development personnel, office leadership, and outside vendors to ensure smooth operations.

Track purchasing activity by reconciling card expenses, monitoring related costs, and assisting with routine supply ordering for the office.

Provide front-line administrative and service support with a strong customer focus, addressing needs promptly and maintaining a high standard within the law firm.

Serve as a knowledgeable point of contact for document handling, proofreading expectations, formatting consistency, and quality control across office support tasks.

Troubleshoot common Microsoft Office issues and assist with software-related questions connected to document production and workflow support.

Escalate deadline concerns, service issues, or project complications to management or client contacts in a timely and effective manner. Requirements - Strong verbal and written communication skills with the ability to interact confidently with legal teams, leadership teams, and vendors.

Experience working in a law firm, detail-focused services, or a similarly client-focused office environment.

Demonstrated ability to manage multiple priorities independently and take initiative without close supervision.

Background supporting meetings, conference room coordination, hospitality services, or workplace events.

Experience with vendor communication, expense tracking, and general office supply coordination.

Proficiency with Microsoft Office applications and comfort assisting with document-related troubleshooting.

Familiarity with scanning, document handling, mailroom support, or related administrative service functions.

Ability to lift up to 50 pounds when needed.
