Position Overview

We are seeking a detail-oriented Marketing Operations Project Manager to support the execution of operational processes for a large-scale marketing event. This individual will serve as an operational hub for participant contracting, cross-functional coordination, status tracking, and reporting across multiple initiatives.

Working closely with Marketing, Legal, Finance, and Accounting teams, this individual will help ensure contracting workflows are completed efficiently, operational systems remain accurate, and program milestones are met. The ideal candidate is highly organized, process-oriented, comfortable managing multiple workstreams, and exceptionally attentive to detail.

Key Responsibilities

Coordinate end-to-end administrative workflows supporting participant contracting for a large-scale marketing event.

Prepare contract requests and supporting documentation, ensuring required information is complete, accurate, and compliant with internal processes.

Maintain operational tracking systems, including updating contract statuses, validating participant information, and monitoring workflow progress.

Generate reports related to contract execution, outstanding deliverables, and overall program readiness.

Communicate status updates and potential issues to key cross-functional stakeholders.

Support post-event administrative activities, including participation verification and coordination of payment readiness.

Develop and maintain process documentation and standard operating procedures (SOPs) to improve operational consistency and efficiency.

Requirements

Required Qualifications

1-3 years of experience in business operations, project management, program coordination, or a related area.

Strong organizational and project management skills.

Working knowledge of project management and/or operational tracking tools.

Strong understanding of process best practices and process improvement.

Exceptional attention to detail and a strong customer-service orientation.

Ability to build effective working relationships across multiple teams and functions.

Ability to prioritize and manage multiple projects, campaigns, and deadlines simultaneously.

Strong written and verbal communication skills.

Supply chain experience

Networking/relationship-building skills

Formal training is considered a plus.

The strongest candidate will be a highly organized operations or project coordination professional who is comfortable tracking detailed workflows, managing documentation, coordinating across departments, maintaining accurate data, and keeping multiple deadlines moving forward. Experience supporting contracts, events, marketing operations, finance-related workflows, or other detail-heavy operational programs would translate well to this position.
