Job Summary:
The Medical Assistant (MA) is responsible for providing clinical and administrative support to physicians, advanced practice providers, and nursing staff within the Ambulatory Infusion Center (AIC). This position supports the delivery of safe, efficient, and patient-centered care by performing patient intake, clinical documentation, care coordination, scheduling support, inventory management, and other duties necessary to ensure efficient clinic operations.
The Medical Assistant is expected to demonstrate professionalism, compassion, attention to detail, and a commitment to excellence while ensuring compliance with organizational policies, regulatory requirements, and infection prevention standards.
Essential Functions
Patient Care
· Prepare patients for infusion appointments by obtaining and documenting vital signs, height, weight, allergies, medication reconciliation, pain assessments, and other clinical information as appropriate.
· Update medical histories and document patient concerns within the electronic medical record (EMR).
· Assist providers and licensed clinical staff during patient examinations, treatments, and infusion-related procedures within the scope of practice.
· Escort patients to treatment areas and assist with patient positioning and comfort.
· Observe patients during clinic visits and promptly report changes in condition or concerns to licensed clinical staff.
· Maintain patient privacy and confidentiality in accordance with HIPAA regulations.
Patient Intake and Clinical Documentation
· Perform patient intake and verify demographic, insurance, and clinical information.
· Ensure all required patient documentation, including consent forms and treatment-related paperwork, is completed accurately prior to treatment.
· Maintain complete, timely, and accurate clinical documentation within the EMR.
· Ensure physician orders, laboratory results, referrals, and treatment documentation are complete prior to scheduled infusions.
· Scan and upload external medical records and supporting documentation into the patient's medical record.
Administrative Support
· Assist with appointment scheduling, patient registration, appointment confirmations, and follow-up communications.
· Support insurance verification, referrals, prior authorizations, and coordination of care with administrative personnel.
· Communicate professionally with patients, caregivers, provider offices, pharmacies, laboratories, and payors.
· Assist in obtaining outside medical records and coordinating continuity of patient care.
Clinic Operations
· Maintain adequate inventory of clinical, infusion, and office supplies.
· Restock patient care areas, examination rooms, and infusion suites.
· Monitor inventory levels and communicate supply shortages to management in a timely manner.
· Assist with receiving, organizing, and storing clinical supplies and equipment.
Safety and Regulatory Compliance
· Maintain cleanliness and organization of all clinical areas in accordance with infection prevention and safety standards.
· Follow OSHA, CDC, HIPAA, and applicable federal, state, and organizational policies and procedures.
· Properly dispose of biohazardous waste and sharps in accordance with established protocols.
· Participate in emergency preparedness activities, quality improvement initiatives, and mandatory education programs.
Customer Service
· Provide exceptional customer service by treating all patients, families, visitors, and colleagues with professionalism, dignity, and respect.
· Foster a welcoming and compassionate environment that supports a positive patient experience.
· Respond appropriately to patient inquiries and escalate clinical concerns to licensed staff when necessary.
Qualifications
QUALIFICATIONS/COMPETENCIES

EDUCATION and/or EXPERIENCE:
· High school diploma or equivalent.
· Minimum of one (1) year of experience in a clinical healthcare setting.
· Working knowledge of medical terminology.
· Experience utilizing Electronic Medical Record (EMR) systems.
· Proficiency in Microsoft Office applications and general computer skills.
· Excellent verbal and written communication skills.
· Demonstrated ability to maintain confidentiality and professionalism.
Preferred Qualifications
· Graduate of an accredited Medical Assistant program.
· Current Medical Assistant Certification (CMA, RMA, CCMA, or equivalent).
· One to two (1-2) years of experience in an ambulatory infusion center, oncology, rheumatology, gastroenterology, specialty pharmacy, or other specialty practice.
· Current Basic Life Support (BLS) certification through the American Heart Association or equivalent.
· Experience with insurance verification, referrals, and prior authorization processes.
COMMUNICATION/LANGUAGE SKILLS: Ability to speak, read and write in the English language; Spanish (or other languages) helpful. Ability to read and comprehend simple instructions, short correspondence and memos; write simple correspondence; and effectively present information in one-on-one and small group situations to customers, clients, and other associates of the organization.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; and compute rate, ratio, and percent; and to draw and interpret bar graphs. An understanding of higher mathematical concepts may be required for specific departments.
REASONING AND ANALYSIS ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; and deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS:
Pharmacy technician licenses/certifications required by state regulations and state of practice.
