POSITION SUMMARY:

Responsible for various clerical and processing duties including various @types of documentation composition and the handling of confidential information. Reports to the Administrator and/or Associate Administrator of Neshaminy Manor, and works closely with the Human Resources Specialist.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Files and maintains accurate employment records. Assists in compiling data and preparing reports for Neshaminy Manor Administration.

Posts open jobs. Prepares vacant position roster weekly to keep Administration, and Human Resources Specialist, aware of positions currently vacant.

Reviews applicants for open positions with the Human Resources Specialist and coordinates with hiring managers to schedule interviews.

Conducts phone screening interviews for Neshaminy Manor entry level positions.

Participates in interviews for open Neshaminy Manor positions, as needed.

Corresponds with job applicants to notify them of employment and pre-employment onboarding requirements including, but not limited to: conducting background checks, drug screenings, security clearances, validating transcripts, verifying licenses / certifications, employment history and references.

Finalizes all necessary paperwork with the applicant for final approval.

Administers new hire orientation and prepares new hire packets for Neshaminy Manor.

Serves as the liaison between Program Directors and the Human Resources Specialist to identify recruitment goals. Maintains a current and accurate log of all licenses/certifications on current employees in all departments at Neshaminy Manor.

Collects and organizes required paperwork for disciplines, grievances, and arbitrations, and participates when needed.

Prepares vacant position roster weekly to keep Administration, and Human Resources Specialist, aware of positions currently vacant.

Prepares and enters weekly and bi-weekly payroll information.

Maintains records in HRIS and timekeeping system, facilitate and implementation of new system modules including test scenarios, researching issues to find solutions and department head / supervisor training.

Provides resident transition and meal assistance to the Nursing Department, as needed.

Must be willing and available to work one weekend per month.

Other duties and responsibilities, as assigned.

QUALIFICATIONS REQUIRED:

High school diploma and one to three years of related experience/training or equivalent education and/or experience.

Proficiency in Microsoft Office programs, specifically Word, Excel, and Outlook.

Working knowledge of Human Resources Information Systems (HRIS); preferably Lawson.

Maintains open and honest communication. Maintains confidentiality at all times.

Maintains appropriate organization skills, high degree of accountability, and the ability to prioritize multiple, ongoing projects.

Ability to work effectively with all departments.

Maintains positive work atmosphere by behaving and communicating in a professional manner with all parties, including employees, residents, and families.
