Work involves providing legal and administrative support and maintaining appropriate communications with ALJs, agencies, and the general public. Trains others as needed. Works under general supervision with moderate latitude for the use of initiative and independent judgment. Essential Job DutiesOrganizes, indexes, and files legal and administrative documents.Reviews case filings for completeness and transmits them to appropriate persons.Prepares, proofreads, and edits legal and administrative correspondence, reports, studies, forms, and documents which may include legal terminology and technical, financial, medical, and legal discussions, and maintains and protects the confidentiality of same, as required. Prepares documents using Microsoft products and Adobe Professional on a daily basis.Checks citations, quotations, footnotes, and references for accuracy.Maintains records and associated files, as needed.Responds to inquiries regarding SOAH rules, cases, policies, and procedures without giving legal advice.Assists in the development of policies and procedures as needed.Reviews and processes mail for ALJs.Answers the phone providing general information or routing calls as appropriate.Trains others as needed.Performs related work as assigned.Minimum QualificationsGraduation from a standard high school or equivalent.Three years' experience in legal secretarial/administrative positions, requiring expertise in office practices and procedures, legal principles, and administrative support.Experience in the use of MS Word, MS Excel, Adobe, or database software programs.College credit may be substituted for experience on a year-for-year basis.Preferred QualificationsNone.Knowledge/Skills/AbilitiesDemonstrable knowledge of record keeping systems and data base management.Demonstrable knowledge of general office practices, basic writing, grammar, spelling, and sentence structure.Knowledge of legal practices and terminology.Demonstrable skill in the use of computers and office equipment.Skill in the use of reference materials.Skill in the use of Windows, Microsoft Office products, including MS Word and MS Excel, Outlook, and Adobe Professional.Skill in the use of a case management system.Ability to receive and respond positively to constructive feedback.Ability to work cooperatively with others in a professional office environment.Ability to use sound judgement.Ability to use an automated case management system.Ability to prepare legal correspondence and documents.Ability to maintain files and records.Ability to interpret rules, regulations, policies, and procedures.Ability to communicate clearly, effectively, and accurately, orally and in writing.Ability to work effectively with the public, attorneys, and SOAH employees.Ability to organize and prioritize multiple work tasks and communicate work deadlines.Ability to analyze problems, develop practical solutions, and perform accurate detail work.Ability to train others.Ability to lift up to 30 pounds.BenefitsPositions with the State Office of Administrative Hearings may offer the following benefits:State-paid health insurance (a 60-day waiting period will apply if not currently employed by the State of Texas)State-paid life insurance for the employeeRetirement planMonthly annual and sick leave accrualsAn average of 13 paid holidays per fiscal year (September 1st through August 31st)Participation in agency-sponsored work alternative programsParticipation in agency Employee Assistance Plan (EAP)TexFlex Commuter Spending AccountDependent health insuranceTexa$aver 401(k) and 457 programsTexFlex healthcare and dependent care reimbursement accountsDental insuranceTerm life insuranceShort-term and long-term disability coverageMilitary/Veteran InformationUse your military skills to qualify for this position or other jobs.
