Job Title: Customer Service Representative - Proposals and Cost EstimationJob Description
This role focuses on delivering high-quality customer service through the administration of customer programs and the development of proactive solutions that respond to customer requirements. You will review and analyze customer specifications, coordinate input from internal departments, and prepare competitive bids and cost estimates. Working under the general guidance of a supervisor or more experienced engineer, you will support business development activities, help resolve customer issues, and contribute to initiatives that improve group effectiveness and customer satisfaction.
Responsibilities
Administer customer service programs and support the development and implementation of proactive initiatives that address customer requirements.
Review and analyze customer specifications to ensure a clear understanding of requirements and expectations.
Coordinate input from engineering, procurement, finance, and other departments to develop bids that are fully responsive to customer needs.
Simultaneously manage information for multiple projects and adjust effectively to changing priorities and deadlines.
Develop detailed cost estimates for new bids and contract revisions using engineering data, drawings, customer specifications, and related documentation.
Prepare requests for quotations for the purchase of components, evaluate supplier quotations, and summarize total cost estimates for internal review.
Write complete and accurate proposal documents, ensuring that all technical, commercial, and contractual aspects are clearly presented.
Revise contract documents as required to reflect changes in scope, terms, or conditions, and ensure consistency with customer agreements.
Compile and analyze data to report contract scope, terms, costs, and profitability to management.
Attend internal and external meetings to exchange information, clarify contract requirements, and support negotiation and decision-making processes.
Participate in investigations of technical or contractual problems and help establish procedures and corrective actions to prevent recurrence.
Support the coordination of customer complaint investigations and assist in achieving fair and equitable solutions.
Maintain a strong working knowledge of the organization's products, drawings, and related documents to support accurate cost estimation and proposal development.
Communicate effectively with internal teams and customers to clarify requirements, resolve issues, and build long-term relationships.
Pursue continuous improvement initiatives to enhance the effectiveness of the group and increase overall customer satisfaction.
Travel domestically or internationally as needed to attend meetings, support customer interactions, and participate in project-related activities.
Essential Skills
Bachelor's degree in engineering, business, or a related field, or an equivalent combination of education and demonstrated accomplishments.
2 to 5 years of experience in customer service, proposals, cost estimating, or a closely related business development function.
Strong knowledge of the organization's products and the ability to interpret engineering drawings and related technical documents.
Proven ability to prepare accurate and detailed cost estimates using engineering data, customer specifications, and supplier quotations.
Experience reviewing and analyzing customer specifications and developing bids that align with customer requirements.
Solid customer support skills, including handling inquiries, coordinating responses, and contributing to complaint resolution.
Proficiency in writing clear, complete, and professional proposal documents and revising contract documents when necessary.
Effective communication skills for interfacing with multiple internal groups and external customers.
Strong organizational skills with the ability to process information for multiple projects simultaneously and respond to changing priorities.
Attention to detail and sound judgment in applying established practices to proposals and cost estimating tasks.
Basic data entry skills and comfort working with computer-based tools to compile, analyze, and report information.

Experience in business development activities such as bid preparation, contract review, and profitability analysis.
Background in coordinating cross-functional input from engineering, procurement, finance, and operations.
Ability to participate in technical problem investigations and contribute to the development of corrective procedures.

Work Environment
You will work in a professional office environment that emphasizes collaboration between customer service, engineering, procurement, and other business functions. The role involves regular use of computers and standard office software for data entry, cost estimation, document preparation, and reporting. You will attend meetings, both in-person and virtual, to coordinate bids, review contract requirements, and resolve technical or commercial issues. The position may require occasional domestic or international travel to meet with customers or internal teams. Pay and Benefits
The pay range for this position is $32.00 - $32.00/hr.
