Position Overview:

The Administrative Assistant will support HR Staff Services in delivering efficient, high-quality administrative support across the employee life cycle for all four main locations, contributing constructive suggestions to improve office procedures and existing organizational structures to maximize the use of resources and encourage innovation, while performing other duties as required.

The successful candidate must hold a currently active NATO SECRET security clearance and bring a minimum of two years of administrative experience in a large organization, preferably in Human Resources or a related environment, along with sound experience in Microsoft Office applications (Excel, Outlook, PowerPoint, SharePoint, Word) and SharePoint specifically. Experience with HR systems used by the NCI Agency such as Oracle EBS, Taleo (or a comparable applicant tracking system), and HR ticketing systems-is required, with specific hands-on experience in Taleo. The candidate should also have experience drafting and publishing information to customers on HR Services or in a similar environment, excellent interpersonal, communication, and organizational skills, and a background working in an HR Help Desk setting with a high-volume workload, a flexible and service-minded attitude, initiative, and the ability to work within Belgium time zone (CEST) hours.

Job Responsibilities:

Support HR Staff Services on various administrative processes related to employee life cycle across the 4 main locations.

Provide constructive suggestions to improve office procedures and actively contribute to existing organizational structure and procedures to maximize use of resources and encourage innovation;

Perform other duties as may be required.

Required Qualifications:

The candidate must have a currently active NATO SECRET security clearance

Minimum two years of experience in administrative work in a large organization, preferably in Human Resources, or related relevant environment

Sound experience with Microsoft Office applications (Excel, Outlook, PowerPoint, SharePoint, Word);

Sound experience with SharePoint;

Experience working with HR Systems used by NCI Agency such as Oracle EBS, Taleo (or a comparable ATS) and HR ticketing systems;

Has Taleo specific experience

Experience with drafting and publishing information to customers on HR Services or relevant environment

Excellent interpersonal, communication and organizational skills;

Experience working in an HR Help Desk environment with a high-volume workload and a flexible, service-minded attitude and ability to take initiative.

Must be able to work in Belgium time zone (CEST) hours
