Description We are looking for an experienced and resourceful Workflow Coordinator (OSA) to support office services operations in a large law firm environment in Miami, Florida. This Contract position is ideal for someone who can manage competing priorities with confidence, provide dependable meeting and administrative support, and maintain strong communication with legal professionals, business teams, leadership, and external partners. The role calls for sound judgment, a proactive work style, and a detail-oriented presence suited to a client-facing workplace.

Responsibilities:

Serve as a central point of contact for work requests, gathering details, clarifying expectations, and aligning delivery timelines with requesters.

Oversee daily office services workflow by organizing priorities across assignments, resolving scheduling conflicts, and keeping urgent requests on track.

Partner with attorneys, secretarial staff, business development teams, and office leadership to ensure smooth communication and timely follow-up.

Coordinate meeting logistics by arranging support needs, confirming details, and working with hospitality staff on conference room readiness and related services.

Maintain a high standard of customer service for onsite employees and visitors while addressing operational needs in a detail-oriented manner.

Handle expense-related administrative tasks, including credit card reconciliation, tracking purchases, and maintaining accurate records.

Monitor inventory levels and arrange orders for office snacks, supplies, and other routine workplace needs.

Work closely with onsite leadership and external vendors to support service delivery, troubleshoot issues, and identify practical solutions.

Apply formatting and quality expectations to completed work and help uphold established service standards across office support activities. Requirements - Demonstrated experience in office services, administrative coordination, or workflow support within a business setting that values attention to detail.

Strong verbal and written communication skills, with the ability to interact effectively with attorneys, staff members, leadership teams, and vendors.

Proven ability to manage multiple priorities independently, make sound decisions, and take initiative without close supervision.

Background in meeting support, hospitality coordination, or conference services in a client-facing environment.

Experience with vendor communication, issue resolution, and maintaining productive working relationships with external partners.

Familiarity with expense tracking, credit card reconciliation, and other routine administrative financial tasks.

Proficiency with Microsoft Office applications and strong attention to detail for quality, accuracy, and proofreading.

Ability to perform physical tasks associated with office support, including lifting up to 50 lbs. when needed.
