This front office medical assistant role combines patient-facing reception duties with electronic medical record (EMR) management in a fast-paced orthopedic practice. You will welcome patients, manage a busy schedule, support providers with accurate documentation, and help ensure smooth, efficient office operations across multiple locations.
Responsibilities
Utilize EMR systems (including Medent and ModMed) to maintain accurate, up-to-date patient records.
Welcome patients as they arrive, ensuring they feel comfortable, informed, and supported throughout their visit.
Manage the appointment calendar by scheduling, rescheduling, and confirming patient visits in coordination with provider availability.
Handle incoming calls, route them to appropriate team members, and address patient inquiries in a professional and timely manner.
Verify patient insurance coverage and ensure all required information is collected and documented accurately.
Assist patients with check-in procedures, including completing necessary forms and verifying demographic and insurance information.
Assist patients with check-out procedures, including scheduling follow-up appointments and providing any required documentation.
Maintain and update patient records, ensuring confidentiality, accuracy, and compliance with practice standards.
Process insurance claims, create invoices, and support patient billing activities as needed.
Update and maintain accurate patient medical histories and records within the EMR.
Provide patients with general information on treatments, medications, and post-procedure care as directed by providers.
Order and manage medical supplies and equipment to ensure the office remains well stocked and prepared.
Work closely with healthcare providers and clinical staff to support smooth patient flow and efficient office operations.
Organize daily workload, prioritize tasks, and manage multiple responsibilities in a very busy office environment.
Demonstrate strong interpersonal and communication skills, maintaining a positive and affirming attitude toward patients and colleagues.
Support operations across multiple office locations as needed to meet patient and practice needs.
Essential Skills
Hands-on experience using electronic medical record (EMR) systems, including Medent or similar platforms.
Experience as a medical receptionist or in a medical front office setting.
Ability to organize workload effectively and prioritize tasks in a high-volume environment.
Strong interpersonal and communication skills, with a positive, affirming attitude toward patients.
Comfort working in very busy offices, managing multiple tasks, and adapting to changing priorities.
Ability to handle patient check-in and check-out processes accurately and efficiently.
Experience verifying patient insurance coverage and working with patient billing or insurance claims.
Proficiency in maintaining confidential patient records with accuracy and attention to detail.
Ability to collaborate with providers and staff to support efficient patient flow and office operations.
Additional Skills & Qualifications
Experience with ModMed EMR, especially in an orthopedic setting, is highly beneficial.
Orthopedic practice experience is strongly preferred.
Previous experience in multi-site or multi-provider medical practices is an advantage.
Comfort working with a variety of providers and staff across different locations.
Interest in learning and growing in a supportive environment where providers are eager to teach.
Ability to thrive in a team-oriented setting with a strong focus on collaboration and patient care.
Work Environment
This role is based in a very busy orthopedic practice with seven locations, including Sparta (main hub), Morristown, Randolph, Hackettstown, Newton, and Cedar Knolls. There are two openings: one primarily covering Morristown and Randolph, and another primarily covering Hackettstown locations that are close to each other. The schedule runs Monday through Friday with one weekend per quarter (Saturday and Sunday). Start times typically range between 8:00 a.m. and 9:00 a.m., with an 8-hour shift each day. Weekend shifts are generally from 8:00 a.m. to 12:00 p.m. Once trained in Randolph, you will work one evening shift per week from 12:00 p.m. to 8:00 p.m. Offices see approximately 20-40 patients per day depending on the provider, with about one patient every 15 minutes, creating a fast-paced environment that requires strong multitasking and EMR skills. You will work with a large but local network that offers a small-group feel, with providers who are friendly and eager to teach. Pay and Benefits
The pay range for this position is $19.00 - $22.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
