Location: New York, NY (Onsite)
Schedule: Monday-Friday, 9:00 AM-5:00 PM
Duration: 3-Month Contract (Maternity Leave Coverage)
Pay Rate: $23-$26/hr
About the Role
Our client, MirRam Group, is seeking a highly organised and professional Scheduling & Office Services Coordinator to support daily operations in their New York City office. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating schedules and logistics, and takes pride in keeping business operations running smoothly.
As the first point of contact for many internal and external stakeholders, you will play a critical role in managing executive calendars, coordinating meetings and travel, and providing administrative support to ensure the team operates efficiently.
Key Responsibilities
Manage and maintain complex calendars for the NYC team, scheduling meetings and coordinating daily priorities
Coordinate internal and external meetings, client events, lobby days, and business gatherings
Plan and organise travel arrangements, including detailed itineraries and meeting logistics
Act as a liaison between multiple executives, departments, and office locations
Answer phones, respond to inquiries, and draft professional correspondence
Provide administrative support for client meetings and internal team events
Prepare reports, presentations, documents, and other business materials
Maintain confidential records and organise electronic filing systems
Track follow-up items and ensure commitments and deadlines are met
Support special projects and additional administrative initiatives as needed
Qualifications
1-3 years of administrative, office coordination, scheduling, or clerical experience
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
Strong organisational and time-management skills
Ability to prioritise and adapt in a fast-paced environment with changing schedules
Professional communication skills, both written and verbal
High level of reliability, discretion, and attention to detail
Bilingual Spanish preferred

Pay and Benefits
The pay range for this position is $23.00 - $26.00/hr.
