Job Description

The Administrative Assistant provides comprehensive administrative support, ensuring smooth day-to-day operations and an organized, efficient work environment. This role handles a variety of office tasks, supports facility needs, and helps maintain accurate records and documentation.

Responsibilities

Provide general administrative support to the location to ensure efficient daily operations.

Perform a variety of administrative duties, including data entry, scanning, and filing of documents.

Process invoices accurately and in a timely manner, following established procedures.

Prepare meeting spaces, ensuring rooms are set up, organized, and equipped for scheduled meetings.

Schedule building maintenance and services, coordinating with vendors and service providers as needed.

Maintain organized records and files to support easy retrieval of information.

Handle repetitive tasks with consistency and accuracy while maintaining high attention to detail.

Communicate clearly and professionally in both written and verbal formats with internal and external contacts.

Use Microsoft Office applications to create, update, and manage documents, spreadsheets, and other office materials.

Essential Skills

Strong administrative experience with a focus on office support and organization.

Proficiency and comfort using Microsoft Office applications.

Excellent written and verbal communication skills.

Ability to perform repetitive work accurately and consistently.

High attention to detail when processing documents, invoices, and data.

Ability to work effectively in alignment with the existing office culture.

Additional Skills & Qualifications

Experience handling invoice processing and basic administrative accounting tasks.

Background in coordinating office services such as building maintenance and vendor scheduling.

Experience preparing and organizing meeting spaces.

Demonstrated ability to manage multiple administrative tasks and prioritize workload.

Strong organizational skills with the ability to maintain well-structured filing and record-keeping systems.

Work Environment

This role is based 100% in the office and follows a Monday through Friday schedule during normal business hours. The Administrative Assistant works in a professional office setting, using standard office equipment and Microsoft Office software to complete daily tasks. The environment emphasizes reliability, attention to detail, and a strong fit with the existing team culture.

This is a Contract position based out of Saint Louis, MO.

Pay and Benefits

The pay range for this position is $22.00 - $23.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
