This role provides dedicated administrative and human resources support with a strong focus on leave of absence administration, attendance management, and compliance. You will serve as a key point of contact for employees and line management on FMLA, leave policies, and attendance programs, ensuring accurate documentation, timely follow-up, and adherence to company policies and applicable regulations. The position requires a detail-oriented professional who can balance compassionate employee support with consistent application of policies and effective collaboration with HR colleagues and supervisors.
Responsibilities
Ensure accurate and compliant administration of FMLA, medical leaves of absence, bereavement, and other leaves in accordance with the National Agreement, company policy, local contractual agreements, and applicable regulations.
Serve as a Subject Matter Expert for line management on leave policies, FMLA regulations, and attendance program interpretation.
Act as the primary point of contact for employees regarding FMLA inquiries, leave status updates, and return-to-work coordination.
Coordinate with the local medical department to support the processing of medical leaves and fitness-for-duty evaluations.
Conduct and document corrective action discussions for chargeable absences, notification failures, and tardiness in partnership with supervisors.
Accurately document outcomes of corrective action hearings and disciplinary processes to ensure consistent and complete records.
Monitor and follow up with line management to resolve open attendance, tardiness, and leave-related issues within established timelines.
Audit and correct Time Worked/Off System (TWOS) coding for attendance and tardiness to maintain accurate timekeeping records.
Maintain all required documentation related to FMLA and leave administration and ensure compliance with recordkeeping requirements.
Assist in the five-day quit process for job abandonment cases by coordinating documentation and communication with relevant stakeholders.
Build trusted relationships with line managers by providing expert guidance on complex attendance and leave situations.
Partner with supervisors to coach effective attendance conversations that balance compassion with accountability.
Collaborate with HR colleagues on employee lifecycle transactions involving leave administration, separations, reinstatements, and transfers.
Run and analyze attendance-related reports, including AWOL, ART, Late Reports, and leave utilization trends, to support decision-making.
Create data visualizations and presentations tailored for diverse audiences, including line supervisors, plant leadership, and union representatives.
Clean and update employee attendance and discipline records to ensure data integrity and consistency.
Identify patterns in attendance data and recommend proactive interventions to reduce absenteeism.
Apply root cause corrective action methodologies to identify and recommend opportunities to streamline attendance and leave processes.
Participate in continuous improvement initiatives to enhance HR service delivery and overall employee experience.
Essential Skills
Demonstrated experience in human resources, with a focus on leave administration and attendance management.
Proficiency in administering FMLA and other leave programs in accordance with company policy, contractual agreements, and applicable regulations.
Strong office administration and administrative support skills, including accurate documentation and recordkeeping.
Ability to serve as a Subject Matter Expert on leave policies, FMLA regulations, and attendance programs for line management.
Experience acting as a primary point of contact for employees regarding FMLA inquiries, leave status, and return-to-work coordination.
Ability to conduct and document corrective action discussions related to attendance, absences, and tardiness.
Computer savvy with strong proficiency in MS Office applications.
Excellent written and oral communication skills, with the ability to tailor communication to diverse audiences.
Strong attention to detail and accuracy in handling sensitive HR and attendance data.
Ability to collaborate effectively with supervisors, line managers, HR colleagues, and medical departments.
Additional Skills & Qualifications
Experience running and analyzing attendance-related reports such as AWOL, ART, and Late Reports.
Ability to create data visualizations and presentations for supervisors, leadership, and union representatives.
Experience cleaning and updating employee attendance and discipline records to maintain data integrity.
Skill in identifying patterns in attendance data and recommending proactive interventions to reduce absenteeism.
Familiarity with root cause corrective action (RCCA) methodologies to improve HR and attendance processes.
Experience participating in continuous improvement initiatives related to HR service delivery and employee experience.
Background as an Administrative Assistant or in similar administrative support roles within HR or office environments.
General human resources knowledge, including employee lifecycle transactions such as separations, reinstatments, and transfers.
Formal qualifications or certifications in human resources or related fields are welcome but not required, as specific qualifications are to be determined.
Work Environment
This position is fully onsite, working five days per week in a professional office environment. You will work closely with HR colleagues, line supervisors, plant leadership, union representatives, and the local medical department. The role involves frequent use of computers, MS Office applications, and HR/timekeeping systems such as the Time Worked/Off System (TWOS). The environment emphasizes collaboration, continuous improvement, and accurate, compliant HR administration, with regular interaction across multiple levels of the organization.

Pay and Benefits
The pay range for this position is $23.67 - $23.67/hr.
