About the role:

Bronx, NY

We are looking for an Administrative Assistant to support plant operations in Bronx, NY. You will provide critical administrative, payroll, accounting, and reporting support to the Plant Manager and operations team.

You will be initially in a temporary assignment expected to last 3-5 months. There is potential for long-term employment depending on needs. You will help establish administrative processes and may help train future plant personnel on administrative responsibilities.

Key Responsibilities:

Process weekly and biweekly payroll and payroll reporting following company procedures.

Review and maintain payroll-related documentation, ensuring accuracy and processing.

Coordinate timesheets, labor charges, bonuses, and other payroll-related items while identifying and correcting discrepancies.

Assist the Plant Manager with monthly operational and maintenance (O&M) variance reporting and performance metrics tracking.

Prepare reports, spreadsheets, and administrative documentation to support plant operations.

Maintain inventory records and assist with physical inventory processes using computerized maintenance management systems.

Create and distribute customer invoices, inventory summaries, budget variance reports, and other requested documentation.

Provide administrative support for accounting activities, including data entry, recordkeeping, and document management.

Manage electronic and hard-copy filing systems.

Coordinate with corporate accounting, plant personnel, and customers to ensure efficient business operations.

Support general office administration, correspondence, scheduling, and special projects as assigned.

Qualifications:

2+ years of administrative experience in an office, industrial, manufacturing, utility, power generation, or operations environment.

Experience supporting payroll, accounting, invoicing, or bookkeeping functions.

Experience with Microsoft Office Suite, Excel, Word, and Outlook.
