Job Description
Insight Global is seeking a Senior Practice Management Specialist to join an AM 100 law firm in their NY, Philly or Washington DC office. This role provides strategic, financial and operational support to the Director of Practice Management for the Business Department, Business Department Heads, and Practice Group Leaders in advancing the firm's strategic and business objectives.
This role operates with a high degree of autonomy and serves as a key liaison between Practice Group Leadership and firm administrative functions. The Senior Practice Management Specialist supports practice group performance, financial management, attorney lifecycle processes, and business planning initiatives, and is expected to proactively manage complex workflows, identify issues, and contribute to process improvements.
Essential Functions:
General
Support and drive implementation of firm strategic initiatives, business planning efforts, and operational priorities across assigned transactional Practice Groups.
Develop relationships with attorneys and staff throughout the firm to gain their trust and confidence in the function and role of the Senior Specialist.
Understand the needs of the attorneys in the group and ensure they have the resources necessary to best service the firm's clients.
Provide seamless quality service to the attorneys and staff throughout the firm.
Serve as a point of contact for Practice Group Leaders (PGLs) and Department Heads (DHs), providing proactive guidance and support.
Budgeting and Financial Management
Lead and coordinate annual Practice Group budgeting processes, including solicitation, review, and alignment of attorney submissions with firm strategy.
Prepare and present regular financial reports, variance analyses, and spend summaries to Practice Group Leadership.
Assist with expense reclassification. Monitor charitable and sponsorship commitments.
Monitor practice group budgets, individual attorney allocations, and business-development related spend against budgets throughout the year.
Partner with Finance on coding issues, accruals, reallocations, and reporting discrepancies.
Communications
Coordinate Practice Group and Department meetings, including agenda development, preparation of materials, and follow-up action items.
Help plan and support other Department and Practice Group events as needed.
Facilitate communication between the Practice Groups and Administrative Departments.
Support recurring leadership meetings, including preparation of financial, utilization, and operational updates
Prepare monthly reports as needed.
Business Planning
Coordinate and support Practice Group and individual business planning processes, including compiling, synthesizing, and tracking strategic priorities, initiatives, and follow-up
Data, Reporting, and Systems
Develop, maintain, and enhance reporting tools to support Practice Group decision-making.
Perform advanced Excel analysis, including use of pivot tables, VLOOKUP/XLOOKUP, and other data modeling techniques.
Maintain key reports, including utilization metrics, expense tracking, and other operational and financial reporting.
Utilize firm systems and platforms to support Practice Group operations.
Attorney Lifecycle Support
Support attorney and lateral onboarding, including budget planning, practice group integration, and follow-up communications.
Coordinate attorney departure processes, supporting transition workflows, and collaborating with Practice Group Leadership and other stakeholders.
Additional Responsibilities
Provide other operational and administrative support to the Practice Management Team, Department Heads and Practice Group Leaders as assigned.
Collaborate and coordinate with firm Administrative Teams, including Marketing & Business Development, Professional Development, Recruiting, Innovation and Pricing, Human Resources, Library/Knowledge Services, and Information Technology to advance Practice Group needs.
Identify opportunities to improve processes, reporting accuracy, and operational efficiency.
Independently manage multiple projects and deadlines in a fast-paced environment.
Perform other responsibilities as assigned.
Work additional hours as needed to fulfill job requirements.
This role has a hybrid working arrangement. Potential candidates must live within commuting distance of our Philadelphia or New York offices to be onsite 3 days per week. In this role, you will report to the Director of Practice Management.
Compensation:
$95K to $115K per year annual salary. Exact compensation may vary based on several factors, including skills, experience, and education. Benefits are provided.

Skills and Requirements
-Law firm experience required. This is non-negotiable.
Practice Management experience is ideal, but we are also open to folks with specific internal operations management experience (i.e., project management, legal executive assistants, practice group support) working with practice group leaders (PGL) or department heads (DH).
-Bachelor's degree required.
-Advanced proficiency in Microsoft Excel, including pivot tables and VLOOKUP/XLOOKUP. Transactional Practices is a huge plus, but not required
