Accounting & Operations Coordinator
Full-Time | Contract-to-Hire
About the Role
We're seeking a proactive, highly organized Accounting & Operations Coordinator to support the day-to-day operations of our growing professional services firm. This hybrid role combines administrative coordination, client service, project management, and accounting support.
The ideal candidate is a self-starter who enjoys solving problems, managing multiple priorities, and keeping projects, people, and processes on track.
ResponsibilitiesOperations & Administrative Support
Manage incoming communications and route requests appropriately.
Coordinate calendars, scheduling, and meetings.
Track deadlines, projects, and outstanding tasks.
Follow up on open items and ensure timely completion.
Support leadership by helping keep business operations organized and efficient.
Identify and address issues before they impact clients or internal workflows.
Project & Task Management
Manage and maintain tasks within Asana.
Assign, track, and update tasks and deadlines.
Monitor project progress and proactively address potential delays.
Coordinate with team members to keep work moving forward.
Ensure deadlines, deliverables, and priorities remain aligned.
Client Service
Serve as a point of contact for client communications.
Provide project updates and follow up on requests.
Coordinate internally to gather information and respond to client needs.
Communicate timeline updates and project status professionally and accurately.
Help deliver a responsive and positive client experience.
Accounting Support
Assist with bookkeeping and accounting-related activities.
Support accounts payable and accounts receivable functions.
Provide backup support for accounting processes and client engagements.
Maintain accurate records, documentation, and financial information.
Cross-train in accounting procedures and support the accounting team as needed.
Special Projects & Technology
Assist with software implementations and technology initiatives.
Coordinate with vendors and service providers.
Support website updates, newsletters, and other administrative projects.
Research solutions to operational or technology-related challenges.
Help identify opportunities to improve processes and efficiency.
Qualifications
Strong organizational, prioritization, and time-management skills.
Excellent written and verbal communication skills.
High attention to detail and follow-through.
Ability to manage multiple projects in a fast-paced environment.
Strong problem-solving skills and a proactive mindset.
Comfortable learning new software and technology platforms.
Professional, client-focused approach.
Ability to work independently and take ownership of responsibilities.
Experience supporting accounting, operations, administration, or client service functions preferred.

Job Type & Location
This is a Contract to Hire position based out of San Diego, CA.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
