Job Title: Logistics Specialist
Job Description
The Logistics Specialist oversees the end-to-end execution of customer vehicle relocation orders and supports all related business operations. This role focuses on order management, precise scheduling, and coordination of vehicle pickups, deliveries, and additional services, while maintaining accurate information in the CRM system. The Logistics Specialist communicates frequently by phone and email with internal staff, independent contractors, and pickup and delivery contacts to ensure timely, high-quality service and compliance with company policies and applicable regulations.
Responsibilities
Manage the execution of customer vehicle relocation orders from initiation through completion.
Coordinate and schedule timely pickup and delivery of customer vehicles, ensuring customer instructions are followed precisely.
Optimize efficiency by linking multiple orders where appropriate to streamline operations.
Oversee accurate and timely completion of additional services such as vehicle detailing, titling and registration, and placement of vehicles into storage.
Communicate promptly and professionally by email, telephone, and CRM with internal staff, independent contractors, and pickup and delivery contacts, escalating issues to management when necessary.
Update CRM activities and notes immediately after each call or email, including uploading photos and scanned documents, and creating and completing tasks to maintain accurate, time-sensitive records.
Ensure all work complies with company policies and procedures.
Ensure adherence to applicable DOT regulations and all relevant federal, state, and local laws.
In the manager's absence or at the manager's direction, calculate and offer flat fees on orders by preparing and emailing bid sheets to independent contractors.
Manage the storage facility operations (where applicable), monitoring the number of vehicles moving in and out to customers, detail shops, and repair shops using VIN and order verification.
Check vehicles into and out of the storage facility, reviewing and documenting any damage or issues.
Take inventory of items left inside vehicles and document them appropriately.
Move vehicles in and out of the lot safely, bringing vehicles into the secure lot when drivers drop them off and staging vehicles for drivers to pick up.
Perform regular inventory checks to account for all vehicles on the lot.
Confirm that vehicles start and operate as expected, and communicate any issues to headquarters so they can be addressed before vehicles are reactivated.

Demonstrate open, effective communication and teamwork with colleagues and independent contractors.
Maintain a strong customer focus, providing outstanding service and up-to-date information on order status.

Learn and utilize all company systems and equipment, including any updates or upgrades.
Monitor and manage team dashboards to ensure tasks are completed and orders continue moving forward.

Respond confidently, assertively, and decisively while taking responsibility and accountability for role requirements.
Serve as the main point of contact for independent contractors (such as truck drivers), assigning orders and supporting them throughout the process.
Essential Skills
1 to 2+ years of experience in logistics and scheduling or a closely related function.
High school diploma or equivalent.
Comfort working in a fast-paced office environment while multitasking and maintaining strong attention to detail.
Ability to manage several concurrent projects with high accuracy and organization.
Strong verbal and written communication skills for frequent interaction with customers, staff, and independent contractors.
Advanced computer skills, including strong proficiency with Microsoft Excel, data entry, and CRM systems.
Typing speed of at least 37 words per minute, as demonstrated by a typing test.
Experience with customer support in a call center, dispatch, inbound and outbound calls, and logistics or scheduling coordination.
Ability to learn and effectively use all company systems, tools, and equipment.
Demonstrated professionalism, honesty, trustworthiness, respect, courtesy, patience, flexibility, cultural awareness, and a strong work ethic.
Ability to respond and act confidently, assertively, and decisively while taking ownership of responsibilities.
Comfort communicating directly with independent contractors (such as truck drivers) to assign and manage orders.
Additional Skills & Qualifications
Experience using CRM platforms to manage customer orders, activities, and notes.
Background in dispatch, fleet operations, or vehicle logistics.
Strong spreadsheet skills for tracking orders, vehicles, and related data.
Proven ability to balance client requirements with internal policies and operational procedures.
Enjoyment of working as part of a cooperative and considerate team.
Interest in long-term growth opportunities within a multi-department organization.
Comfort working in a high-volume, deadline-driven environment.
Ability to maintain quality standards while handling frequent phone and email communications.
Work Environment
This is a full-time, on-site position, operating Monday through Friday from 8:00 a.m. to 5:00 p.m. The role is office-based and fast-paced, with frequent phone and email communication and extensive use of computer systems, including CRM platforms, Microsoft Office (especially Excel), and data entry tools. The position involves close coordination with independent contractors and may include regular interaction with a vehicle storage facility, including walking the lot and moving vehicles in and out of secure areas. This is a Contract to Hire position based out of Marysville, OH.
Pay and Benefits
The pay range for this position is $18.00 - $20.00/hr.
