JOB SUMMARY

The Branch Facilities & Construction Coordinator supports construction project delivery across the Galls branch network - relocations, remodels, and new openings - and administers the outsourced service programs supporting 80+ branch locations, including the ServiceChannel facilities management program, national vendor accounts, and the seasonal snow and ice program. The role coordinates construction projects under the direction of Legal Operations and Integration leadership and serves as the day-to-day owner of external partner relationships for facilities operations and lease administration, reporting to the VP of Legal Operations & Risk Management. The position works closely with Legal Operations on lease-driven project requirements and with Finance on capital project reporting.
WHAT YOU'LL DO
Construction Project Management
Coordinate branch relocations, remodels, and new store openings from design through closeout under the direction of Legal Operations leadership: design coordination, general contractor bid solicitation and leveling, budget and schedule tracking, permitting coordination, and site visits.
Perform first-line review of change orders and pay applications, verifying against work completed and contract terms, and prepare recommendations for leadership approval prior to payment release; maintain project budgets, schedules, and documentation.
Coordinate lease-driven project requirements with Legal Operations - tenant improvement allowances, landlord work letters, and delivery conditions - including supporting pre-signature review of work letter terms.
Manage punch list completion, closeout documentation, warranty follow-up, and day-to-day landlord/contractor coordination through project completion.
Branch Facilities Program Administration
Administer the ServiceChannel facilities program across 80+ branch locations, serving as the internal owner of the platform and the managed-service relationship.
Manage escalations, monitor provider performance against service levels, participate in quarterly business reviews, and track facilities spend against budget.
Oversee work order trends, recurring-issue analysis, and preventive maintenance program performance; recommend program adjustments based on data.
Vendor Program Governance
Administer national vendor accounts - waste management, document destruction, and garment destruction - including renewals, rate schedules, and account escalations.
Manage the seasonal snow and ice program: annual quote review and negotiation support, and winter invoice verification against service events and weather records.
Coordinate with IT on the security/alarm program and with external providers on any cross-program consolidation opportunities.
Real Estate & Lease Administration Support
Support lease administration executed through brokerage partners: critical-date tracking, renewal option calendars, and landlord obligation follow-up (repairs, maintenance, reimbursements).
Provide site condition and construction feasibility input during lease negotiations and site selection; execute the lease-to-construction handoff protocol with Legal Operations.
Reporting & Process Improvement
Prepare capital project status reporting and facilities program reporting for Legal Operations leadership and Finance.
Maintain organized project files, vendor contract records, and program documentation; leverage AI-enabled workflow tools consistent with department practices to improve program administration and reporting.
OTHER DUTIES
Support risk management and legal operations initiatives related to real estate and facilities as assigned, including insurance claim coordination for property matters, compliance documentation, and special projects. Perform other duties as required.
WHAT YOU BRING
Working knowledge of commercial construction delivery: reading plans and specifications, GC contract structures, change order and pay application review, and permitting processes; able to prepare well-documented recommendations for leadership decision.
Experience with facilities management platforms (ServiceChannel or comparable CMMS) and vendor performance management.
Strong budget management and analytical skills; able to verify invoices and challenge costs with documentation.
Organized self-starter capable of managing multiple concurrent projects and programs across a national footprint with limited supervision.
Effective written and verbal communication with contractors, landlords, brokers, vendors, and internal leadership.
Working proficiency in AutoCAD, including the ability to produce basic floor plan mockups, test fits, and drawing markups, and to verify layouts and dimensions.
Proficiency with Microsoft Office; project management tools (Procore, Smartsheet, or comparable) and AI productivity tools a plus.
Bachelor's degree in construction management, facilities management, business, or related field - or equivalent combination of education and directly relevant experience.
1-3 years of experience in commercial construction project management, facilities coordination, or multi-site program administration; multi-site retail, branch, or franchise environment strongly preferred.
Experience administering outsourced service provider or managed-service relationships preferred.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
Standard office environment with regular travel to branch locations and active construction sites. Site visits require the ability to walk active construction areas, climb stairs/ladders as needed for inspections, and wear required personal protective equipment. Occasional lifting up to 25 pounds.
