Overview

ABM Industries is seeking a detail-oriented and proactive bilingual Aviation Administrative Assistant to provide comprehensive administrative support to the Aviation team. This role is essential in ensuring smooth day-to-day operations, coordinating documentation, and supporting operations teams with logistical and clerical tasks. Bilingual in Spanish and English is preferred.

Responsibilities

Provide administrative support to Aviation leadership and operations teams.

Coordinate meetings, prepare agendas, and document minutes.

Manage and organize operational documentation, including compliance records, work orders, and shift reports.

Assist with onboarding, badging, and airport access control (SIDA/AOA) for new team members and subcontractors.

Maintain office supplies, equipment, and general workspace organization.

Support scheduling, travel arrangements, and expense reporting.

Ensure compliance with company policies, airport authority regulations, and TSA requirements.

Serve as a liaison between internal departments, airport authorities, airline clients, and external vendors.

Qualifications

Associate's degree or equivalent experience in Business Administration or related field.

3+ years of administrative experience, preferably in aviation, airport operations, or facilities environments.

Bilingual in Spanish and English

Strong organizational and communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Experience with workforce management or work order systems is a plus.

Ability to obtain and maintain an airport-issued security badge (SIDA clearance).

Ability to handle confidential information with discretion.
