ABOUT THE ROLE
The Learning & Development (L & D) Coordinator supports the Talent and Operations Development teams. This role plays an important part in preparing and managing training materials, coordinating training logistics, and maintaining accurate training records to support CEI's leadership development initiatives.
The L & D Coordinator assists with the creation, editing, and organization of training content, manages training attendance tracking and calendar coordination, and ensures training documentation is properly maintained within CEI systems. This role requires strong attention to detail, excellent organizational skills, and the ability to support multiple training initiatives simultaneously.
Training Records & Systems Administration
Provide LMS administrative support to Instructional Designers, Talent Development Partners, and Operations Development teams for the following:
Upload of eLearning content and other electronic assets
Develop and generate course completion and learner reports
Manage Events Calendar ensuring ILT/vILT courses are created and available in a timely manner and registrations and completions are accurately captured
Manage both employee and leader curriculum ensuring content accuracy is consistently maintained and up to date
Ensure system hygiene is maintained and that users, assignment groups, courses and curricula are retired in timely manner
Ensure course completion and attendance records are accurately captured in the LMS and reporting can easily be generated
Troubleshoot and correct system issues with learners, transcripts, courses, reporting, and any other LMS issues
Maintain organized digital records of training content and materials for easy retrieval and version control.
Vendor, Resources, & Materials Management
Upload and manage learner license assignments ensuring learners have access to third party LMS platforms
Maintain platform hygiene, accurately generate and compile complete, accurate, and simple reports to read
Manage learner engagement by monitoring platforms and communicating usage to appropriate audiences
Manage and maintain an organized physical inventory of learner, participant, and facilitator guides, job aids and any other class materials
Manage and maintain MS Team Channels and membership
Assist with the creation and production of training materials, including binders, participant guides, handouts, and reference materials.
Coordinate printing, assembly, and distribution of training materials
Manage vendor contracts, SOWs/order forms, invoice processing and tracking
Training Event Coordination, Logistics and Support
Manage class rosters ensuring accurate registration and attendance tracking
Manage LMS, Outlook, and/or Teams calendar invitations for training sessions and related meetings
Assist with scheduling training sessions and coordinating room reservations or meeting spaces
Provide catering coordination and support for training classes as needed.
Track training and facilitator materials to ensure readiness for scheduled and offsite sessions
For SJ office onsite training, request room setup, ensuring the proper seating arrangements and all materials are ready for class facilitation
Able to maintain a flexible in-office schedule to provide class support
When necessary, provide production support for vILT sessions
Arrange travel logistics and manage expense reporting as necessary
File & Content Management
Maintain the structured file management for all training materials, presentations, and resources
Organize and maintain shared folders and training libraries to ensure materials remain current and accessible
Assist with version control and updates to training documents and curriculum materials
Reporting & Analytics
Generate and maintain program dashboards and participation reports
Produce completion reporting at:
Program level
Curriculum level
Course level
Track attendance and learner engagement data
Support reporting accuracy and timely distribution to TD SMEs
Assist in identifying trends and operational insights within learning data
Offer suggestions based on observed trends/insights
Produce ad hoc reports as required
ABOUT YOU
Learning Management System (LMS) administration
Training coordination and event logistics
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Power BI
Employee onboarding and orientation processes
Problem-solving and critical thinking
Able to manage multiple priorities and meet deadlines
Strong organization, prioritization, and time management
Outstanding attention to details
Proficient in organization and analysis of simple data sets with various attributes
Work independently with minimal supervision
Coordinate multiple training programs simultaneously while meeting deadlines
Analyze training data to identify trends and opportunities
Communicate clearly with TD Partners, employees, leaders, and vendors
MINIMUM QUALIFICATIONS
Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.
Education: High School Diploma or GED required. Bachelor's degree or equivalent work experience preferred.
Licensure/Certifications: Cornerstone CSOD Administration Certification preferred
Experience:
Minimum 5 years of administrative or coordination experience, preferably supporting training, operations, or leadership development programs
Experience supporting corporate training or leadership development programs
Familiarity with Learning Management Systems (LMS) or similar platforms
Experience coordinating training events or internal workshops
