The Administrative Assistant provides administrative support duties for management and staff of a child support field office. Work involves clerical and technical tasks associated with processing of child support cases. May serve as the liaison for inventory, purchasing, travel, personnel, safety, records management, leave, facilities, and other duties as assigned by management. Function DescriptionPerforms purchasing liaison dutiesPerforms office supply dutiesPerforms inventory liaison dutiesPerforms volunteer/intern liaison duties and trains volunteers/internsMay serve as a Notary PublicPerforms travel liaison dutiesPerforms administrative duties for the officePerforms postage coordinator dutiesPerforms time-keeping liaison dutiesAssists staff with equipment/building maintenance needsProcesses incoming and outgoing mailAssists management with tracking and monitoring budgetPerforms backup money-handling duties to process child support paymentsServes as backup to the receptionistScan and index documentsReview and maintain child support virtual files for accuracy in the Enterprise Content Management (ECM) repositoryPerforms related work as assignedMaintains relevant knowledge necessary to perform essential job functionsAttends work regularly in compliance with agreed-upon work scheduleEnsures security and confidentiality of sensitive and/or protected informationComplies with all agency policies and procedures, including those pertaining to ethics and integrityMINIMUM QUALIFICATIONS.Education: Graduation from high school or equivalentExperience: Two years of full-time Child Support Program, business administration, complex clerical, secretarial, customer service (or closely related) experience; may substitute bachelors degree from an accredited college or university for the required experience on a year-for-year basis Knowledge of office practices and administrative proceduresSkill in using a computer for word processing and data entry/retrievalSkill in the proper use of punctuation, sentence structure, grammar, and spellingSkill in handling multiple tasks, prioritizing, and meeting deadlinesSkill in effective oral and written communicationSkill in exercising sound judgment and effective decision makingAbility to communicate effectivelyAbility to receive and respond positively to constructive feedbackAbility to work cooperatively with others in a professional office environmentAbility to provide excellent customer serviceAbility to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entiretyof every work week (unless on approved leave)Ability to arrange for personal transportation for business-related travelAbility to work more than 40 hours as needed and in compliance with the FLSAAbility to lift and relocate 30 lbs.Ability to travel (including overnight travel) up to 10% Ability to @type 45 words per minute (Typing test required at time of interview)Administrative Assistant III All of the above qualifications for an Administrative Assistant II, PLUS:Experience: One additional year of full-time Child Support Program, business administration, complex clerical, secretarial, customer service (or closely related) experience; may substitute bachelor's degree from an accredited college or university for the required experience on a year-for-year basisPREFERRED QUALIFICATIONSSkills: Using WordPerfect, MS Word, and MS Excel software programsOther Language: Ability to proficiently read, write, and speak SpanishTo apply for a job with the OAG, electronic applications can be submitted through CAPPS Recruit.
