Class Summary
Job Description
This position will serve as the Department's receptionist and report to the Office and Administrative Services Section in the Finance and Performance Management Division. The incumbent is responsible for handling daily administrative duties for the department, including providing customer service and information to internal and external customers daily, and assisting with entering, dispatching and updating service requests via the Customer Relationship Management (CRM) module in SAP. This position will also perform basic office duties, such as copying, filing, faxing, typing standard documents; preparing, sorting, and distributing mail; and entering data into various department reporting systems.
Essential Duties
Provide comprehensive administrative support to departmental staff, ensuring efficient day-to-day office operations.
Maintain and coordinate department and employee schedules, meetings, appointments, and calendars.
Organize meetings by preparing agendas, scheduling participants, and coordinating meeting logistics.
Arrange travel accommodations and related logistics for staff as needed.
Draft, edit, and prepare newsletters, brochures, correspondence, and other departmental communications.
Research information and compile data to support departmental projects, reports, and initiatives.
Perform calculations, generate totals, and assist with the preparation of routine reports and summaries.
Review, research, enter, and maintain information within departmental reporting systems to ensure accuracy and completeness.
Maintain, update, and verify the accuracy of departmental records, documents, files, and accounts.
Provide customer service by assisting with incoming calls, responding to inquiries, and supporting the department's main phone line as needed.
Public Speaking Duties
Communicating and engaging with staff, citizens, leadership, and elected officials.
Other Job Requirements/Information
This job is eligible for a hybrid telework schedule after an initial probationary period and individual approval.
Grade
The grade for this position is B211. Salary will be dependent on education and experience.
Effective 4/11/2023, this position is eligible for the Employee Referral Program.
Minimum Qualifications
High School Diploma or G.E.D. AND
Two years of administrative support or related office experience
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above will also be considered.
Preferred Qualifications in addition to the above minimum qualifications
Three years of experience working in a public works setting supporting administrative and financial tasks
