Schedule/payrate :
Monday to Friday Part time
Total of 20 hours per week working between 8am to 5pm
$21/hr
Position Summary
The Medical Administrative Assistant supports the efficient operation of the Occupational Health Services department. This position provides both administrative and clinical coordination, safeguarding sensitive information while ensuring compliance with company policies and regulatory requirements. Key responsibilities include managing employee health programs, occupational health surveillance, emergency response support, and wellness initiatives.
Essential Duties and Responsibilities
Serve as the primary contact for Occupational Health in the OHN's absence
Manage scheduling, phone communications, and documentation
Coordinate meetings, wellness events, and departmental activities
Ensure HIPAA compliance and timely documentation
Assist with leave management, including communications and documentation in Cority
Support first aid, emergency response, and maintain OSHA compliance
Track certifications, enroll employees in health programs, and update training records
Coordinate medical surveillance activities, including hearing conservation and respirator surveillance
Assist with clinical operations: supply inventory, preventive maintenance, and hearing exams
Help plan and execute wellness programs and events
Qualifications
Associate's degree preferred
Basic Life Support (BLS) certification required
Minimum experience in administrative roles (please specify years required)
Strong interpersonal and communication skills
Proficiency in computer systems and ability to manage multiple tasks
Strong organizational, communication, and technical skills
Ability to maintain strict confidentiality
Physical Requirements & Work Environment
Physical activities include bending, climbing, lifting (5-25 lbs.), reaching, standing, walking, typing, and repetitive motion
Work is primarily performed in an office environment with occasional exposure to plant conditions
Safety glasses, footwear, and hearing protection required in designated areas
