Position Overview:

The Administrative Assistant will be a vital part of our site operations, providing essential administrative and organizational support in a fast-paced manufacturing or industrial environment. This role is primarily office-based and focuses on ensuring the smooth operation of daily processes through effective document management, purchasing assistance, and the organization of critical procedures and policies.

Key Responsibilities:

Provide comprehensive administrative support, including managing calendars, handling emails, and coordinating meetings.

Organize, maintain, and retrieve electronic files, policies, and procedures to ensure efficient and compliant document management (Digital Management Administration/DMA activities).

Assist in document control and the administration of electronic records, ensuring documents are accurate, up-to-date, and accessible.

Support purchasing activities by ordering supplies and materials, creating purchase requisitions, and collaborating with procurement as needed.

Diligently review, cross-check, and manage documentation and purchasing records to guarantee precision and compliance.

Maintain organized shared files, digital records, and filing systems, supporting both individual and team productivity.

Communicate professionally with colleagues and vendors, demonstrating strong customer service and relationship-building skills.

Required Skills & Qualifications:

Proven experience with Microsoft Office Suite, especially:

Outlook (email and calendar management)

Word (document creation and editing)

Basic Excel (data entry and management)

Exceptional attention to detail and accuracy in managing documents and records.

Strong organizational and time management skills, with the ability to prioritize multiple tasks.

Excellent verbal and written communication skills, with a focus on professionalism and clarity.

Preferred Skills:

Hands-on experience with SAP for purchasing and document control (highly desirable but not required; training available for candidates with strong administrative backgrounds).

Prior experience in creating purchase requisitions and purchase orders.

Background in an office-based role supporting a manufacturing or industrial setting.
