Summary This position is located in Patient Business Services at the Chalmers P. Wylie VA Medical Center. The incumbent serves as a Supervisory Medical Support Assistant (MSA) in Primary Care. Incumbent must possess knowledge of clinic processes and services to function in and interact with various clinics throughout the facility. Employee must have knowledge of and ability to apply policies and procedures associated with operational activities that affect workload data. Responsibilities The Supervisory MSA has full responsibility for supervising subordinate Advanced Medical Support Assistant within the service. The incumbent is responsible for assuring accurate appointment management and the coordination of all administrative information between the professional staff and the patient. Duties include but are not limited to: Evaluate the work of subordinate staff. Assure accurate appointment management and the coordination of all administrative information between the professional staff and the patient. Evaluate performance and taking disciplinary action when necessary. Work collaboratively with facility programs, services, and interprofessional coordinated care team members to facilitate access to care through focused efforts on meeting the needs of Veterans via various available contact modalities to include but not limited to telephone calls, secure messaging, chat, text messaging and videoconferencing. Identify educational or training needs. In addition to the experience above, the candidate must demonstrate the following KSAs Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and to empowering the team to collaborate and resolve problems within a complex systems environment. Ability to provide the full range of administrative and supervisory duties in a patient support setting, which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training related to administrative functions in a patient support setting. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. The full performance level of this vacancy is GS-08. Physical Requirements: The work is mostly sedentary. It typically requires sitting with sustained periods of concentration. There will be some walking, standing, bending, and carrying of relatively light objects. The position may also require stooping, reaching, lifting, pulling, and other moderate exertion or strain.
