Description We are looking for a Finance Administrator to support daily financial activities for a legal services organization. This Contract position focuses on accurate billing, trust account coordination, accounts payable support, and financial record maintenance while partnering closely with attorneys, leadership, and external accounting resources. The ideal candidate brings strong attention to detail, sound discretion with sensitive financial information, and the ability to keep recurring finance processes on schedule.

Responsibilities:

Prepare and distribute client invoices through Clio, ensuring charges, timing, and supporting details are accurate and aligned with firm guidelines.

Manage trust-related transactions by applying funds correctly, tracking balances by matter, and maintaining precise documentation for all activity.

Monitor client accounts by recording payments, credits, adjustments, and outstanding balances, and follow up on receivables or billing questions as needed.

Handle closing activities for client accounts, including required correspondence, address confirmation, and coordination of any remaining trust fund disbursements.

Oversee operational payables by organizing vendor invoices, subscriptions, and recurring expenses and helping ensure payments are completed on time.

Support budgeting and cash flow oversight by comparing actual spending to planned amounts and identifying notable variances for leadership review.

Maintain finance calendars, payment records, and backup documentation to promote accuracy, audit readiness, and smooth monthly operations.

Partner with outside accounting service providers and other financial service providers to resolve discrepancies and keep records current and complete.

Assist with special finance projects such as escheatment work, fee payments that require close attention to detail, and process improvements related to cost control and reporting. Requirements - Background in bookkeeping, finance administration, legal billing, accounts payable, or a related financial support function.

Practical experience using Clio for billing and trust accounting is strongly preferred.

Working knowledge of invoicing, accounts receivable, accounts payable, budgeting, general ledger activity, or month-end financial processes.

Strong organizational skills with a high level of accuracy and the ability to manage recurring deadlines consistently.

Proven ability to handle confidential financial and client information with discretion and sound judgment.

Proficiency in Microsoft Excel or Google Sheets for tracking, reconciliation, and reporting tasks.

Experience in a law firm or other services environment is preferred.

Familiarity with fund administration or grant-related financial tracking is a plus.
