Tropical Behavioral Services is seeking a dependable and organized Administrative Assistant to support the day-to-day operations of our growing organization.

This role is ideal for someone who enjoys keeping things organized, managing details, supporting a team, and helping an office run smoothly. The Administrative Assistant will provide general clerical and administrative support, maintain records, assist with scheduling and document preparation, and help ensure routine tasks and follow-up items are completed accurately and on time.

The right candidate will be professional, dependable, detail-oriented, and comfortable learning new systems and processes.

Key Responsibilities

Provide general administrative and clerical support to staff and leadership.

Prepare, scan, copy, file, and organize documents and records.

Maintain accurate electronic and paper filing systems.

Enter and update information in spreadsheets, trackers, and company systems.

Assist with scheduling meetings, appointments, and office activities.

Respond to routine phone calls, emails, and internal requests professionally.

Track documents, deadlines, office supplies, and assigned follow-up items.

Maintain confidentiality of employee, client, and company information.

Assist with additional administrative tasks based on organizational needs.

Knowledge, Skills, and Abilities

Strong organization and attention to detail.

Good written and verbal communication skills.

Ability to manage multiple tasks and meet deadlines.

Basic proficiency with Microsoft Office, Google Workspace, and data entry.

Ability to follow instructions, learn new processes, and work effectively as part of a team.

Professional, dependable, and able to maintain confidentiality.

Qualifications

High school diploma or equivalent required.

Previous administrative, clerical, office, or customer service experience preferred.

Basic computer and data-entry skills.

Ability to pass required background checks.

Ability to successfully complete required HIPAA and company training.
