We are looking for a dependable Office Assistant to support day-to-day administrative operations for a housing environment in Pinellas Park, Florida. This Contract position is ideal for someone who is organized, service-focused, and comfortable assisting applicants and residents while keeping records accurate and up to date. The role combines front-office support, document management, and routine program-related administrative tasks in a detail-oriented office setting.

Responsibilities:

Welcome callers and visitors, respond to routine inquiries, and provide courteous front-desk support for applicants, tenants, and residents.

Assist with intake activities by gathering information from applicants and tenants and supporting preliminary eligibility reviews for housing program participation.

Address resident concerns and routine complaints, taking steps to resolve straightforward matters and escalating more involved issues to property leadership when needed.

Prepare reports, enter and organize documents, and maintain tenant and administrative records in alphabetical, numerical, and category-based filing systems.

Support the timely completion of annual recertifications and interim reviews, helping keep required processing within established deadlines.

Scan, upload, and organize annual and interim documentation within designated electronic file records.

Distribute resident laundry cards and maintain accurate tracking for issued items.

Update parking records and provide residents with parking decals while keeping logs current and organized.

Run recurring income and screening reports each month and assist with other clerical or administrative duties as assigned.

Requirements - Previous experience in an office support, clerical, receptionist, or administrative assistant role.

Ability to handle inbound calls, greet visitors courteously, and communicate clearly with applicants, residents, and staff.

Strong document management skills, including scanning, filing, and maintaining organized paper and electronic records.

Comfortable performing routine administrative tasks with accuracy and attention to detail.

Ability to manage multiple responsibilities, prioritize deadlines, and follow established procedures.

Basic proficiency with standard office software and electronic recordkeeping systems.

Sound judgment to recognize when routine issues can be addressed directly and when matters should be referred to management. TalentMatch®
