Description We are looking for an experienced Sr. Administrative Assistant to support executive leadership and oversee day-to-day office coordination in Indianapolis, Indiana. This Long-term Contract position is ideal for a highly organized individual who can work independently, manage competing priorities, and help maintain a productive and welcoming workplace. The role combines executive support responsibilities with office administration, requiring strong communication skills, sound judgment, and a proactive approach to operations.

Responsibilities:

Coordinate daily office activities to keep administrative processes organized, efficient, and aligned across departments.

Provide direct support to executive leadership by managing schedules, preparing correspondence, and handling routine executive requests.

Arrange travel logistics, meetings, and conference calls while ensuring calendars remain accurate and up to date.

Maintain office procedures, records, and documentation with a high level of accuracy and confidentiality.

Collaborate with internal teams to support operational needs and promote a detail-focused, service-oriented office environment.

Prepare, review, and organize business documents, including materials related to import and export activity when needed.

Use Microsoft Office and internal databases to create reports, track information, and support administrative workflows.

Monitor priorities independently, respond to changing needs, and resolve day-to-day office matters with attention to detail. Requirements - 3-5 years of experience in administrative support, office coordination, or executive assistant work.

Demonstrated ability to manage calendars, meeting schedules, and executive priorities effectively.

Proficiency with Microsoft Office Suite and comfort working in database-driven environments.

Experience arranging business travel and coordinating conference calls or multi-party meetings.

Strong written and verbal communication skills with a consistent customer service mindset.

Ability to work autonomously, adapt quickly to shifting demands, and contribute immediately in a fast-paced setting.
