Description We are looking for a detail-oriented Jr. Administrative Assistant to support daily administrative operations for a Contract position based in Los Angeles, California. This opportunity is ideal for someone who can keep schedules organized, manage documentation accurately, and provide responsive support to both internal teams and clients. The role requires strong coordination skills, comfort working with legal and administrative software, and the ability to handle multiple priorities in a fast-paced environment.

Responsibilities:

Coordinate calendars, appointments, and scheduling needs to ensure deadlines and meetings are tracked effectively.

Maintain organized digital and physical records while updating information across case management and administrative systems.

Assist with billing-related tasks, document preparation, and routine office support to keep operations running smoothly.

Communicate professionally with clients and internal stakeholders, providing timely updates and courteous assistance.

Support claim and matter tracking by entering accurate information and monitoring status changes as needed.

Use platforms such as CompuLaw, Conveyancer, and LexisNexis to assist with research, scheduling, and file management activities.

Prepare spreadsheets and reports in Microsoft Excel to help monitor workload, deadlines, and administrative data.

Contribute to general office coordination by handling day-to-day administrative requests and supporting team efficiency. Requirements - Experience supporting administrative, legal support, or office coordination activities in a detail-focused environment.

Working knowledge of case management software and the ability to learn specialized systems quickly.

Familiarity with tools such as CompuLaw, Conveyancer, LexisNexis, and Microsoft Excel.

Ability to manage calendars, documentation, and multiple assignments with strong attention to detail.

Experience assisting with billing functions, claim administration, or related administrative processes.

Strong communication skills with a detail-focused approach to client relations and internal collaboration.

Comfortable working in a fast-moving setting while maintaining accuracy, organization, and follow-through. TalentMatch®
