The Billing Clerk is responsible for accurately processing vehicle sales transactions and supporting the dealership's accounting and administrative functions. This role reviews completed deals from the Sales Department, enters transaction information into the dealership management system (DMS), processes trade-in payoffs, prepares checks, and ensures that all vehicle sales documentation is complete, accurate, and properly filed. The position is well-suited for a detail-oriented, organized professional who enjoys working in a fast-paced automotive dealership environment and providing reliable support to both internal teams and customers.
Responsibilities
Review completed vehicle sales deals from the Sales Department for accuracy and completeness.
Enter deal information into the dealership management system (DMS) in a timely and accurate manner.
Process trade-in payoffs according to established procedures and timelines.
Prepare checks related to vehicle sales transactions and associated fees.
Verify that all vehicle sales documentation is complete, accurate, and properly signed and filed.
Maintain organized records of sales transactions, trade-ins, and related financial documents.
Collaborate with sales and accounting team members to resolve discrepancies or missing information in deal files.
Provide administrative support to the dealership's accounting functions as needed.
Perform data entry and clerical tasks to support daily office operations.
Deliver courteous and professional customer service when interacting with internal and external stakeholders.
Use basic computer applications and office equipment to complete daily tasks efficiently.
Adhere to dealership policies, procedures, and internal controls related to billing and documentation.
Essential Skills
High School Diploma.
Prior administrative, clerical, or customer service experience.
Strong attention to detail and a high degree of accuracy in data entry and documentation.
Good organizational and time management skills to handle multiple tasks in a fast-paced environment.
Basic computer proficiency, including Microsoft Office (Excel, Word, Outlook).
Ability to perform data entry efficiently and accurately.
Strong documentation and record-keeping skills.
Effective verbal and written communication skills for working with internal teams and customers.
Customer service skills to respond professionally and courteously to inquiries.
General computer skills and comfort using office technology.
Additional Skills & Qualifications
Experience working in an office, dealership, or similar administrative environment.
Familiarity with billing processes and procedures.
Experience with administrative assistance tasks such as filing, organizing, and scheduling.
Ability to work both independently and collaboratively within a team setting.
Comfort working in a fast-paced environment where priorities may shift.
Work Environment
The Billing Clerk works onsite in an office environment as part of a collaborative team within an automotive dealership. The role involves regular use of computers, office software such as Microsoft Office, and standard office equipment. The environment is fast-paced, with frequent interaction with sales and accounting staff and occasional direct communication with customers. Work is primarily performed at a desk in a professional office setting.

This is a Contract to Hire position based out of Memphis, TN.
Pay and Benefits
The pay range for this position is $19.50 - $19.50/hr.
