Description We are looking for an organized and detail-oriented Accounts Payable/Receptionist to support daily accounting operations and front-office activities in Fremont, Ohio. This position combines invoice and payment processing with administrative coordination, helping maintain accurate financial records while ensuring smooth day-to-day office support. The ideal candidate communicates clearly, is comfortable handling multiple priorities, and is committed to accuracy, service, and continuous improvement.

Responsibilities:

Manage incoming mail and route correspondence and documents to the appropriate departments in a timely manner.

Welcome callers and visitors while providing dependable front-desk and general administrative support.

Review packing documentation and align receiving records with supporting materials before invoice processing.

Enter supplier invoices, verify coding and backup documentation, and post accounts payable transactions accurately.

Maintain vendor master records, including updates to payment details and required tax documentation.

Prepare check runs, secure necessary approvals and signatures, and distribute payments according to schedule.

Reconcile general ledger accounts, assist with month-end journal entries, and compile routine financial reporting.

Process employee expense submissions and company card activity while researching and resolving discrepancies.

Support year-end and compliance activities by preparing 1099 information and calculating and remitting applicable use tax.

Contribute to quality and process improvement efforts, follow established procedures, and assist with additional accounting duties as assigned by management. Requirements - At least 1 year of experience in accounts payable, accounting support, or a similar administrative finance role.

Associate degree in accounting preferred, or equivalent practical experience in a related field.

Working knowledge of invoice entry, payment processing, account reconciliation, and financial record maintenance.

Ability to communicate clearly and professionally with internal teams, vendors, and external contacts.

Proficiency with Microsoft Word and Excel, along with experience using spreadsheets and business software applications.

Strong organizational skills with the ability to manage multiple tasks, maintain documentation, and meet deadlines.

High level of accuracy, attention to detail, and confidence handling numerical data and resolving discrepancies.

Experience supporting multi-line phone systems, mail handling, or front-desk reception functions is preferred.
