Job Description

Insight Global is seeking an Administrative Assistant to support a fast-paced engineering team. This individual will provide high-level administrative coordination to ensure efficient day-to-day operations, supporting both leadership and team members. The ideal candidate is highly organized, detail-oriented, and comfortable working across cross-functional and global teams. This role is onsite and 32 hours a week

Key Responsibilities:

Manage calendars, schedule meetings, and coordinate travel arrangements for leadership and team members

Prepare, format, and distribute reports, presentations, and meeting materials

Track action items, project updates, and key deliverables to ensure alignment and follow-through

Maintain department documentation, records, and internal systems (e.g., SharePoint)

Support onboarding logistics, travel coordination, and general team operations

Facilitate communication with cross-functional partners and global stakeholders

Assist with budget tracking, expense reporting, and administrative workflows

Skills and Requirements

Associate's or Bachelor's degree, or equivalent work experience

3+ years of administrative support experience, preferably supporting senior leadership

Experience with SAP, Ariba, or similar systems

Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, Teams)

Excellent organizational, communication, and time management skills

Ability to multitask and prioritize in a fast-paced environment Bilingual - English and Japanese
