Administrative Specialist (Payroll & Accounting)

We are seeking an experienced Administrative Specialist to support our operations team with a blend of administrative, payroll, and accounting responsibilities with a growing multi-disciplined engineering firm. This role is ideal for a detail-oriented professional with strong ADP Workforce Now experience, payroll processing expertise. Experience within the Architecture, Engineering, and Construction (AEC) industry is highly preferred.

Key Responsibilities

Process and administer full-cycle payroll accurately and on time using ADP Workforce Now.

Maintain payroll records and ensure compliance with federal, state, and local payroll regulations.

Review payroll data for accuracy, including timesheets, earnings, deductions, taxes, and employee changes.

Support accounting operations through data entry, reconciliations, reporting, and other administrative functions.

Utilize advanced Excel functions and formulas to analyze payroll and accounting data.

Assist with employee payroll inquiries and resolve discrepancies in a timely manner.

Ensure compliance with FLSA regulations, payroll tax requirements, wage and hour laws, and company policies.

Provide administrative support to the operations team as needed.

Generate payroll, labor, and financial reports for leadership and internal stakeholders.

Required Qualifications

Associate's degree or higher in Business Administration, Accounting, Finance, or a related field, or equivalent professional experience.

Hands-on experience with ADP Workforce Now is required.

Experience processing full-cycle payroll for 250+ employees and/or multiple payroll cycles.

Strong understanding of payroll tax regulations, wage compliance requirements, and FLSA guidelines.

Proficiency in Microsoft Excel, including formulas, reporting, and data analysis.

Strong attention to detail, organizational skills, and ability to manage confidential information.

This is a Permanent position based out of Newburgh, NY.

Pay and Benefits

The pay range for this position is $65000.00 - $95000.00/yr.

Full benefits package including medical, dental, vision and 401k
