Assist in developing bid scope summary sheets to clearly define trade scopes and avoid gaps or overlaps.
Assist with preparing bid approval forms and assembling required backup documentation.
Research and help prequalify new or out-of-town subcontractors, and track new subcontractor applications.
Coordinate the distribution and organization of drawings during preconstruction and throughout the project.
Generate requests for information (RFIs) to clarify plans and specifications during bidding and construction.
Conduct subcontractor safety orientations at the job site to reinforce site-specific safety expectations.
Perform regular safety inspections and document findings to support a safe and compliant job site.
Track and organize safety manuals and safety documentation, including safety data sheets (SDS).
Procure, install, and maintain site signage and ensure barricades are properly maintained and evaluated.
Monitor and help maintain site cleanliness and relocate staged materials as needed to support safe operations.
Track and distribute incoming drawings and bulletins so the project team always works from current documents.
Update drawing logs and drawing sets to reflect the latest revisions and ensure accuracy in the field.
Review incoming submittals to confirm conformance with contract documents before routing for approval.
Log, track, and distribute submittals to and from the architect/engineer (A/E) and project stakeholders.
Prepare RFIs as directed by the project team and submit them to the A/E for review and response.
Distribute RFI responses to all affected subcontractors and confirm that changes are understood and implemented.
Track, organize, and document project scope changes and extra work orders, including time-and-material tickets and bulletins.
Assist in reviewing scope changes with the project team prior to distributing to subcontractors.
Maintain drawings, submittals, RFIs, and related documentation in field databases (such as PlanGrid) and project binders.
Coordinate with the project administrator to clarify roles and responsibilities for document control and project support.
Take and file construction progress photos on a regular basis to document project milestones and conditions.
Assist the superintendent with preparation of daily reports, including manpower, activities, and site conditions.
Visually track onsite construction progress and communicate observations to the project team.
Assist in developing and updating three-week look-ahead schedules to support proactive planning.
Communicate with subcontractors regarding labor and material availability, and help address constraints.
Maintain a material status report, with particular focus on tracking long-lead items and delivery dates.
Assist with tracking subcontractor productivity and performance against schedule and expectations.
Support onsite supervision and coordination of trades under the guidance of the superintendent and project manager.
Participate in project closeout by creating punch lists and tracking completion of punch list items.
Track required closeout documentation in accordance with project specifications and ensure timely collection.
Assist with scheduling and coordinating required owner training sessions for building systems and equipment.
Help review and compile as-built drawings to accurately reflect final field conditions.
