Job Title: Customer Relations Coordinator
Job Description
The Customer Relations Coordinator provides timely, professional, and friendly support to customers by handling high volumes of incoming calls, managing order and shipping inquiries, and coordinating with internal departments to ensure accurate and efficient delivery of products and services. This role requires strong communication, organizational, and problem-solving skills in a fast-paced environment, as well as the ability to use automated systems and office software to maintain accurate customer records and support business objectives.
Responsibilities
Answer all incoming phone calls in an expeditious manner
Answer a daily average quota of customer phone calls; minimize abandoned phone calls
Provide a pleasant and friendly atmosphere for customers to conduct business
Effectively answer customer administrative questions or forward to proper Dassault Falcon Jet (DFJ) personnel in a manner that satisfies customer request
Coordinate interdepartmental correspondence relating to timely delivery of spares
Record customer request for quote, convert to sales order when required
Research IPCs to problem solve in AOG situations
Responsible for follow-up to customers on shipping information
Manage client base with Siebel updating customer transactions/issues into the Siebel database
Report processing as required
Assist customers in obtaining information on services from other DFJ departments/DFJ vendors
Perform off-hour telephone coverage as needed
Administrative work as assigned by management team
Other duties assigned by management to meet business objectives
Essential Skills
Minimum of one (1) year of customer service experience in a fast-paced environment.
SAP experience - MUST HAVE
Experience working in customer service or customer support roles, handling high call volumes and multiple priorities.
Familiarity with automated order entry systems and related customer databases.
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
Strong data entry skills with attention to detail and accuracy.
Ability to communicate effectively with internal and external customers in a professional manner.
Excellent written and verbal communication skills.
Excellent listening skills, with the ability to understand and address customer needs clearly and efficiently.
Exceptional organizational and follow-up skills, including the ability to track and manage multiple customer requests.
Ability to work effectively as part of a team, collaborating with colleagues and other departments.
Ability to work rotating shifts as required to support business needs.
Experience working in a high-paced environment, maintaining composure and service quality under pressure.
Additional Skills & Qualifications
High school diploma or GED.
Familiarity with aviation environments or aviation-related customer service is beneficial.
Experience with customer service in a technical or parts-related setting is an advantage.
Work Environment
This role operates in a fast-paced, customer-focused environment that combines on-site and remote work. The schedule typically includes four days on-site and one day remote each week, with flexibility to choose the remote day, and requires rotating shifts to support customer needs. The position involves frequent use of telephones, computers, automated order entry systems, SAP, and Microsoft Office tools to manage customer interactions, orders, and reporting. Team members collaborate closely with various internal departments and external vendors to ensure timely delivery of parts and services. The pay range for this position is $50000.00 - $55000.00/yr.
