Job Description
The Administrative Assistant supports day-to-day operations by accurately processing time entry for hourly employees and providing reliable administrative support to the office team. This role focuses heavily on data entry and reconciliation, ensuring that employee hours are correctly assigned to projects and that contractor timesheets align with agency invoices. The Administrative Assistant also helps coordinate office events and serves as a backup to the Office Manager for various administrative tasks.
Responsibilities
Enter and batch daily time for 40-60 hourly employees, ensuring all hours are accurately recorded and assigned to the correct projects.
Review time entries for accuracy and completeness, identifying and correcting discrepancies as needed.
Follow up with employees on missing timecards or timecards that appear incorrect, and work with them to resolve issues promptly.
Reconcile contractors' timesheets with invoices from staffing agencies to ensure accurate billing and payment.
Serve as a backup to the Office Manager by assisting with various administrative tasks as needed.
Help organize and coordinate office events, including scheduling, logistics, and communication.
Maintain organized records and documentation related to time entry, timesheets, and invoices.
Perform repetitive administrative tasks with consistency, accuracy, and attention to detail.
Essential Skills
Strong administrative experience with a focus on accuracy and organization.
Proficiency with Microsoft Office, including the ability to work comfortably with spreadsheets, documents, and email.
Good written and verbal communication skills to interact clearly and professionally with employees and stakeholders.
Ability to perform repetitive work while maintaining a high level of accuracy and consistency.
Strong attention to detail, especially when entering and reviewing time data and reconciling timesheets.
Ability to work effectively as part of an office team and contribute positively to the workplace culture.
Additional Skills & Qualifications
Experience handling time entry or timesheet management for hourly employees.
Experience reconciling timesheets with invoices or working with staffing agencies.
Comfort working in a structured environment with routine daily tasks.
Interest in supporting office events and contributing to a positive office environment.
Work Environment
This role operates on a Monday through Friday schedule during normal business hours and is 100% in-office. The Administrative Assistant works in a traditional office setting, using Microsoft Office and other standard office tools to complete daily tasks. The environment emphasizes reliability, consistency, and collaboration, with regular interaction with hourly employees, the Office Manager, and staffing agency contacts. The position involves primarily desk-based work focused on data entry, reconciliation, and administrative support.

Pay and Benefits
The pay range for this position is $25.00 - $28.00/hr.
