Administrative Support Specialist - Private Wealth Management

We're partnering with a leading global wealth management firm to hire an Administrative Support Specialist for their Private Wealth Management team. This role offers exposure to a fast-paced financial services environment and is a great fit for someone who is organized, professional, and eager to build a career supporting high-performing advisor teams.

Responsibilities

Support advisor and executive teams with daily administrative and operational needs.

Manage incoming and outgoing correspondence, including handling of checks, tax documents, and secure filing.

Coordinate travel arrangements and process expense reports for multiple team members.

Maintain calendars, schedule meetings, and provide phone coverage as needed.

Plan and coordinate office events, including recruiting activities, internal gatherings, and client events.

Handle day-to-day office logistics such as booking conference rooms, catering, printing, and visitor coordination.

Support client-servicing efforts with a focus on responsiveness and operational excellence.

Qualifications

Proficiency in Word, Excel, PowerPoint, and Outlook required.

Bachelor's degree preferred but not required.

Minimum 2 years of experience in a professional corporate setting; recent graduates interested in financial services are encouraged to apply.

Strong written and verbal communication skills.

Comfortable multitasking in a fast-paced, team-oriented environment.

Professional presence and business attire expected.

Sound judgment, discretion, and a high level of integrity.

Team player who thrives supporting others behind the scenes.
