Construction Coordinator
Job Description
The Construction Coordinator supports the successful planning, execution, and closeout of construction projects by coordinating documentation, schedules, subcontractors, procurement activities, and communication among all project stakeholders. This role serves as a key liaison between project managers, field teams, contractors, clients, and vendors to help ensure projects are completed safely, on schedule, within budget, and in line with quality standards.
Responsibilities
Support Project Managers and Construction Managers in the execution of construction projects from initiation through closeout.
Coordinate daily project activities between field operations, vendors, subcontractors, and internal stakeholders to keep work progressing smoothly.
Track project milestones, schedules, and deliverables to ensure timely completion and identify potential delays.
Assist in developing and maintaining detailed project schedules and work plans using appropriate tools.
Participate in project status meetings, document key decisions and action items, and distribute meeting minutes to stakeholders.
Manage and organize project documentation, including contracts, submittals, RFIs, change orders, permits, and closeout packages.
Ensure all project records are accurate, up to date, and properly filed in accordance with document control standards.
Track document revisions, maintain version control, and distribute updates to project teams and stakeholders.
Assist with project reporting and dashboard updates to provide visibility into project status and performance.
Coordinate material procurement and delivery schedules to support field operations and maintain project timelines.
Communicate with suppliers and subcontractors regarding project requirements, specifications, and deadlines.
Monitor purchase orders, invoices, and delivery status to ensure materials and services are received as planned.
Support vendor qualification and onboarding activities by collecting documentation and coordinating approvals.
Assist with budget tracking and cost monitoring to support financial control of projects.
Support change order management by tracking requests, documentation, approvals, and associated costs.
Review invoices and verify that work has been completed in accordance with contracts before payment processing.
Generate project progress reports and metrics for management review, highlighting key milestones and issues.
Facilitate communication between field personnel and project management teams to resolve issues quickly.
Support site mobilization and project startup activities by coordinating logistics, documentation, and communications.
Assist with safety documentation and compliance tracking to align with company safety requirements.
Help ensure project activities align with company safety and quality standards by supporting adherence to procedures and policies.
Serve as a point of contact for clients, subcontractors, and internal teams for project-related information.
Respond to project-related inquiries in a timely and professional manner, escalating issues when necessary.
Coordinate meetings, site visits, and stakeholder communications, ensuring all parties receive relevant information and documentation.
Provide administrative and data entry support related to construction administration, document control, and project coordination.
Essential Skills
Construction experience in a coordination, administration, or related role.
Strong understanding of the construction project lifecycle and construction terminology.
Demonstrated experience with project coordination in a construction environment.
Experience with submittals, RFIs, change orders, and construction document management.
Experience with accounting-related tasks and subcontractor communication for invoicing and payment verification.
Proficiency with Microsoft Office Suite, particularly Excel, Outlook, Word, and Teams.
Ability to perform accurate data entry and maintain organized project records.
Strong organizational skills with the ability to prioritize and manage multiple projects simultaneously.
Excellent written and verbal communication skills for interaction with clients, field teams, and vendors.
Strong customer service orientation and professional communication style.
Ability to work effectively with field personnel, project managers, vendors, and subcontractors.
Bilingual communication skills.
Additional Skills & Qualifications
Mechanical background preferred but not mandatory.
Experience with construction management software such as Procore, Autodesk Construction Cloud, Bluebeam, Primavera P6, or Microsoft Project.
Experience in construction administration and document control processes.
Familiarity with project reporting and dashboard tools.
Ability to support safety documentation and compliance tracking.
Strong multitasking ability and attention to detail in a fast-paced project environment.
Work Environment
This is an on-site role with standard hours of 8:00 a.m. to 5:00 p.m. in the office. The Construction Coordinator will have a dedicated office space and will work closely with project managers, field teams, and administrative staff in a professional construction project environment. The role involves frequent use of computers, Microsoft Office applications, and construction management software. The position is structured as a contract-to-hire opportunity and offers flexibility when needed, within the expectations of project schedules and business needs.

Pay and Benefits
The pay range for this position is $60000.00 - $80000.00/hr.
